About this role

Job summary

Would you like to join a friendly secretarial team here at DCH. The role would be based within the Children's Centre and you would be part of a team who provide support to our paediatricians, patients and their families.To provide a comprehensive secretarial and administrative support service for the Paediatric Department.This role will provide secretarial support to the consultants and members of the multi-disciplinary team to assist in the smooth, efficient and effective running of the service.

Assists in the organisation of the consultants' work load.Acts as a point of contact for patients/carers, providing information on systems and processes within the hospital, including appointment and admission related information, to satisfactorily resolve queries. This includes establishing communication networks within the team and with other appropriate health care professionals.

The post-holder will work closely with all members of staff in ensuring the delivery of a high quality service. This will require the utilisation of good secretarial, administrative, communication and interpersonal skills, knowledge of word-processing and other computerised systems. All secretaries appointed to the Paediatric service have a shared responsibility to service the needs of the department.

Main duties of the job

To act as a point of contact for patients, parents/carers and other health professionals, dealing with a wide range of queries, providing information and escalating issues to the clinical team where appropriate. This requires a caring, professional and empathetic approach, alongside the ability to establish and maintain effective communication networks with internal and external healthcare professionals.

To provide comprehensive administrative and secretarial support to the clinical and managerial teams, including typing clinical correspondence from dictation within national timescales, producing meeting minutes and action logs, processing daily post, booking appointments, and managing communications with parents and carers.

To work collaboratively with the clinical and managerial teams to maintain and support departmental and divisional procedures, ensuring operational targets, performance standards and quality objectives are achieved.

To provide dedicated administrative and secretarial support to a number of consultants within the department, managing complex workloads and competing priorities to ensure the timely production of clinical correspondence. The post holder will provide cross-cover for members of the secretarial team during periods of annual leave, sickness absence or other unforeseen circumstances, ensuring continuity of service and minimising disruption to patient care.

Person Specification

Education, Qualification & Training Essential

Educated to GCSE level or equivalent, including English at Grade C or above

Knowledge & Experience Essential

Experience of working with computer systems, to include Microsoft Office, in a working/academic environment

Skills & Abilities Essential

Evidence of effective communication skills both written and oral Evidence of ability to respond quickly to changing priorities organising and prioritising own workload to meet deadlines Ability to build and maintain good working relationships within a team. An understanding of the meaning of confidentiality and the requirement for this to be maintained

Desirable
