Job summary

We have an exciting opportunity for a full time, Service Coordinator to join the RRCV Clinical Management Team working in Respiratory.

We are looking for an enthusiastic and organised individual to join our Outpatients team. This varied role involves supporting the Outpatients Booking Team, undertaking RTT validation, and providing cross-cover for the Long COVID and Pleural/Bronchoscopy Service Coordinator roles as required. No two days are the same, so you'll enjoy working collaboratively while also having the confidence to work independently when required.

Respiratory Medicine & Allergy is one of the largest users of outpatient clinic space. Our service delivers a broad range of clinics, from general respiratory medicine to highly specialised services including Severe Asthma, COPD, ILD, etc. Behind every successful clinic is a dedicated administrative team working alongside exceptional nursing and clinical colleagues to provide high-quality, patient-centred care.

This is a varied and rewarding role that goes beyond booking appointments. Alongside supporting our Outpatients Booking Team, you'll play a key role in higher-level administrative tasks, including clinic template creation, maximising clinic slot utilisation, and monitoring Electronic Referral Service (e-RS) triage performance.

Main duties of the job

To co-ordinate and provide a cross cover support service to the Respiratory Specialised clinics including Long Covid and Pleural/Bronchoscopy. Managing patients and professionals through defined pathways to enable patients are seen by the right person, at the right time and in the right place, ensuring that the quality standards of the Trust are met. To provide support and guidance to patients, carers, relatives and others making contact with the services. To deliver a Patient Pathway in accordance with Local and National Guidelines in relation to Referral to Treatment (RTT 18 weeks). To prospectively manage the specialised clinics and clinic slot availability to ensure maximum efficiencies within the service to agreed templates, minimising any impact on clinic utilisation in a timely manner.

Job description Job responsibilities

To receive referrals and make new and follow up appointments. To monitor, maintain and report clinic cancellations, including notice time given and utilisation time available. To ensure all Local and National Standards are applied to referrals, to undertake RTT and booking in accordance with UHL Patient Access and Data Management Policy. To ensure all Overseas Visitors are recorded appropriately, including the receipt and check of ID documents and referral on to the Overseas Patient Manager. Liaise with clinicians regarding availability for clinics.To retrieve and prepare case-notes in a timely manner for clinics.To ensure all required test results are available for clinic and where necessary liaise with the relevant service (including other Trusts) to obtain/ expedite such reports. To be responsible for the co-ordination and reception duties associated with outpatient clinics. This will include maintaining full and accurate patient demographic records both manual and electronic; booking of follow up and pre-assessment appointments; arranging investigations and imaging reviews; updating RTT pathways and clinical coding from clinic outcomes.

Training & Qualifications Essential

Educated to A level standard or equivalent NVQ III or relevant experience gained in administration post - for a min of 2 years. RTT/Clinic Management/Waiting List or relevant experience
