CLCH Hertfordshire Adult Community Services - CLCH NHS Trust provides a range of Community Services, and the Hertfordshire Division is recruiting!

We have an exciting opportunity for a Band 3 Administrator to join our Unplanned Care team. This is a part-time role, and flexibility is important, as shifts may include evenings and weekends.

In this role, you will act as a key point of contact while supporting the day-to-day operations and administrative functions of the Unplanned Care team. Your contribution will help ensure the team can meet service user needs and deliver high-quality patient care.

As part of a supportive and collaborative team, you will carry out administrative tasks in an organised and timely manner. You will communicate with service users, colleagues, and members of the public in a professional, respectful, and empathetic way.

You will help ensure that accurate information is shared appropriately with relevant staff and provide support to patients, carers, and colleagues as needed.

Main duties of the job

Key duties in this role include:o Enter routine information and scan patient records into the SystmOne system accuratelyo Register referrals across Unplanned Care pathways, including Frailty Hospital at Home, Discharge Home to Assess, Urgent Community Response, and Early Intervention Vehicle (EIV)o Complete the daily Capacity Report in a timely mannero Support the monitoring of stationery and medical supplies, including checking stock levels and assisting with ordering when neededo Forward discharge summaries, referrals, and correspondence to patients, GPs, and other relevant serviceso Carry out general office duties such as managing incoming and outgoing mail, photocopying, and maintaining a tidy workspaceo Maintain accurate records on Trust IT systems and databaseso Answer incoming calls and respond to enquiries in a helpful and professional manner, taking appropriate action where requiredo Work with colleagues to manage enquiries, correspondence, and information received by the serviceo Receive, record, and share confidential and sensitive information relating to patient care appropriately, ensuring accuracy and discretion at all times

Education/Qualification Essential

Educated to GCSE Level (or equivalent) in English Language

Desirable

NVQ in Business/Administration or equivalent knowledge and experience

Experience Essential

Previous experience of working as a secretary or administrator in a busy office environment Knowledge of NHS policies and procedures Experience with the use of Microsoft Office and a variety of databases Knowledge and experience of using/implanting administration procedures and processes Good written and oral communication skills to converse and correspond with a range of service users and partners regarding complex and sensitive issues via face to face interactions, telephone or documentation Able to work both independently and as part of a team Able to be accurate, flexible and work under pressure Able to communicate when barriers to understanding exist
