Position Purpose: Using a wide range of tools, techniques, and skills, the Lead Coordinator supports the planning, administration, coordination, and evaluation of projects and initiatives for the Office of Strategic Planning and Implementation at the Faculty of Medicine. The role contributes to project objectives and stakeholder collaboration by conducting research, supporting knowledge mobilization activities, engaging communities and partners, raising awareness of programs and services, and providing coordination, communications, reporting, and administrative support.

Specific Accountabilities:

• Project Coordination: Coordinates and supports the planning, development, administration, and evaluation of new and existing Faculty of Medicine programs and initiatives. Maintains accurate project documentation, including but not limited to work plans, schedules, budgets, engagement plans, risk logs, and progress reports. Monitors activities and timelines, identifies and escalates risks, and supports mitigation strategies to ensure programs are developed effectively and aligned with faculty priorities and community needs. Coordinates activities and timelines with Program Managers and stakeholders to ensure project objectives and deliverables are met. • Mobilization and research: Conducts research, environmental scans, literature and jurisdictional reviews, and needs assessments to support the development, enhancement, and evaluation of Faculty of Medicine programs. Gathers, analyzes, synthesizes, and disseminates evidence, promising practices, and stakeholder feedback through reports, presentations, and knowledge-sharing activities to support program planning, decision-making, and continuous improvement. • Administrative support: Provides administrative and operational support by preparing briefing notes, reports, presentations, meeting materials, correspondence, and other documentation. Coordinates meetings, consultations, workshops, and events, and maintains project records and action logs. Tracks deliverables and follow‑up activities and performs administrative duties required to support the efficient coordination of program development initiatives. • Communications: Supports the development and implementation of communication, outreach, and engagement activities to promote awareness of Faculty of Medicine programs, initiatives, and opportunities. Builds and maintains collaborative relationships with faculty, learners, community members, partner organizations, and other stakeholders; coordinates engagement and consultation activities; facilitates information sharing; and supports the incorporation of stakeholder perspectives into program development and evaluation processes. • Quality Assurance: Supports quality assurance activities related to the development of new and existing Faculty of Medicine programs by coordinating and monitoring adherence to established program development, review, and approval processes. Works with the Senior Advisor, Program Management to ensure required documentation, consultations, approvals, milestones, and quality standards are met in accordance with Faculty and University requirements. Maintains accurate records, tracks progress against program development frameworks and timelines, identifies gaps or process issues, and supports the preparation of materials required for governance, approval, accreditation, quality assurance, and reporting purposes. • Expert advice: Provides program coordination, information, and logistical support to Program Managers, faculty members, committees, community partners, and stakeholders involved in program development initiatives. Contributes research findings, background information, stakeholder feedback, and administrative support to facilitate planning, collaboration, informed decision-making, and the advancement of Faculty of Medicine priorities. Knowledge, Experience, Competencies, and Skills: Essential Qualifications:

• Postsecondary degree in a relevant field such as administration, social sciences, health sciences, education, or a related discipline, or an equivalent combination of education and experience.

• Minimum five years of demonstrated experience in a similar role

• Strong organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment

• Demonstrated ability to support all stages of project processes, including initiating, planning, executing and closure.

• Ability to facilitate effective and diverse community consultations, programs, and initiatives

• High level of discretion, confidentiality, and tact when handling sensitive information.

• Sensitivity to issues of racism, sexism, and other forms of stigma and discrimination.

• Excellent verbal and written communication skills, including experience developing communications materials, and tailoring messaging to diverse stakeholder groups.

• Experience in program evaluation and/or research with demonstrated skills in qualitative and quantitative data collection, analysis and knowledge dissemination

• Experience working in a postsecondary institution or other complex organization is an asset

• Bilingual, French and English, spoken and written
