Summary The Department of Psychiatry at Baylor College of Medicine, in partnership with Texas Children’s Hospital, is seeking a Senior Coordinator, Business Operations. This position will coordinate daily business operations, including budget tracking, purchasing, contracts, and administrative reporting, while ensuring compliance with institutional, sponsor, and regulatory requirements. The Senior Coordinator, Business Operations will provide comprehensive administrative and operational support to the division and work closely with faculty, leadership, staff, trainees, and institutional partners. This role will also support the Psychiatry Residency and Medical Student Education Programs. This position may offer the flexibility of a hybrid work schedule to be determined after an initial training period. Job Duties Administrative and Operational Support – 35% Provides daily administrative support for division operations, including scheduling, meeting coordination, correspondence, document preparation, record maintenance, and departmental requests. Serves as a liaison among faculty, staff, leadership, and institutional departments to support the timely completion of operational activities. Faculty and Personnel Support – 20% Supports faculty and personnel processes, including on-boarding, credentialing and re-credentialing, institutional access, appointments, and required documentation. Tracks outstanding requirements and coordinates with the appropriate BCM and TCH departments to ensure timely completion. Residency and Medical Student Support – 20% Coordinates administrative activities for Psychiatry residents and medical students, including learner communications, rotation schedules, on-boarding, Epic and system access, badges, rosters, and required documentation. Serves as a point of contact for routine learner needs and communicates issues or changes to program leadership. Financial and Purchasing Support – 15% Processes and tracks purchases, reimbursements, corporate card expenses, invoices, travel documentation, and other routine financial transactions. Reviews documentation for accuracy, appropriate funding, and timely submission. Departmental Projects and Cross-Coverage – 10% Supports departmental meetings, projects, events, recruitment activities, and other operational priorities. Provides administrative cross-coverage as needed, assists with tracking assignments, resolves routine issues, and ensures timely follow-through while maintaining confidentiality and accuracy. Performs other job-related duties as assigned. Minimum Qualifications High School diploma or GED. Four years of relevant experience. Work Authorization Requirement: This position is not eligible for visa sponsorship.
