About the Role:

SeaDream Yacht Club is seeking a proactive and resourceful Office Manager to take ownership of the day-to-day needs of our new West Palm Beach office. This person will be the heart of the office, helping create an organized, welcoming, and well-run environment for employees, senior leaders, and visitors.

We are looking for a true go-getter who notices what needs to be done, takes initiative, and follows through without requiring constant direction. The right person will be comfortable solving problems, managing competing priorities, and stepping in wherever needed to keep the office and its people moving forward.

This position is designed as an early-career entry point into SeaDream Yacht Club. Because the role works closely with leadership and interacts with teams across the company, it offers broad exposure to our business and the opportunity to discover where the individual’s strengths and interests may lead. For someone who is eager to learn, takes ownership, and consistently looks for ways to contribute, this role can open doors to future opportunities within departments such as Sales, Marketing, Reservations, Operations, or other areas of the company.

This person will also help establish SeaDream as an active and visible member of the Palm Beach community by identifying local opportunities, building relationships, and coordinating our participation in relevant business, hospitality, cultural, and community events.

Key Responsibilities:

Office Coordination

• Take ownership of the daily organization, presentation, and overall functioning of the West Palm Beach office.

• Anticipate office needs and address them proactively without waiting for direction.

• Manage office supplies, equipment, mail, deliveries, meeting spaces, and shared areas.

• Coordinate with building management, maintenance teams, technology providers, and other office vendors.

• Identify and resolve office-related issues quickly, resourcefully, and professionally.

• Maintain office procedures, vendor information, important contacts, and administrative records.

• Welcome visitors and ensure guests have a polished and professional experience.

• Look for opportunities to improve office processes, organization, communication, and efficiency.

• Coordinate office lunches, employee gatherings, holiday celebrations, and other activities that bring the team together.

Executive and Project Support

• Help the senior staff stay organized, prepared, and focused on priorities.

• Maintain meeting and event calendars and help coordinate schedules across departments.

• Track deadlines, open items, and commitments to help ensure projects continue moving forward.

• Coordinate with team members to gather updates and provide leadership with visibility into outstanding priorities.

• Assist with special projects, research, presentations, documentation, and other business needs.

• Recognize when follow-up is needed and take ownership of moving tasks to completion.

Community Engagement

• Help increase SeaDream’s visibility and involvement within the Palm Beach community.

• Research and identify relevant local events, organizations, partnerships, sponsorships, and networking opportunities.

• Build relationships with local businesses, hospitality organizations, cultural institutions, community groups, and other potential partners.

• Coordinate SeaDream’s participation in local events, meetings, charitable initiatives, and community programs.

• Maintain a calendar of local opportunities and proactively recommend where SeaDream should participate.

• Work with leadership and the Marketing and Sales teams to ensure community activities support SeaDream’s brand and business goals.

• Track community contacts, opportunities, commitments, and follow-up items.

This role provides direct exposure to senior leadership and multiple areas of the SeaDream business. The person in this position will have the opportunity to learn how different departments operate, contribute to cross-functional projects, and develop a strong understanding of the luxury travel industry.

Qualifications:

• One to three years of experience in office administration, hospitality, event coordination, customer service, executive support, or a related area is preferred.

• Demonstrated initiative and the ability to work independently.

• Strong written and verbal communication skills.

• Proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.

• Experience coordinating meetings, events, vendors, facilities, or community activities is a plus.

• Existing knowledge of the Palm Beach business or hospitality community is a plus but not required.

• Must be able to work full-time and on-site in our West Palm Beach office.

• Must be legally authorized to work in the United States without current or future sponsorship.
