About this role

Job summary

An exciting opportunity has arisen for a Ward Administrator to join our Adult Mental Health Wards in Exeter, Wonford Site.

We are looking to recruit a motivated and enthusiastic individual to join our busy team who has a flexible approach to supporting the ward team. You will need an understanding of confidentiality, possess strong communication skills and be able to work with both clinical and administration staff, members of the public, patients and electronic systems.

This is a hugely rewarding and unique administration role which will give you an excellent insight into adult mental health conditions and the range of therapies and interventions that we offer.

The post is permanent, up to 37.5 hours per week.

Main duties of the job

The post-holder's role will be to work in partnership with the Ward Manager and MDT as Ward Administrator in the team ensuring high quality administrative support that will enable the provision of the best possible care to service-users.

This role is interesting and varied, some of the main duties include:

Provide support to Ward Manager and MDT Minute taking of MDTs and Business MeetingsRotas - escalate unfilled shifts and update staff working hours Ordering of ward supplies Uploading to patient and staff records

Person Specification

Skills and Abilities Essential

Excellent verbal and written communication skills, in person, on the telephone or electronically. Able to deal confidentially and tactfully with people at all levels. Experience in dealing with people in distress in a calm and confident manner. Ability to plan ahead and anticipate.

Qualifications Essential

NVQ Level 3 Business Administration. Evidence of continuing professional and personal development.

Experience Essential

Excellent organisational skills. Ability to prioritise workload and adapt to change when required. Previous experience of working within an administrative or secretarial team. Experience of dealing with confidential and complex information.

Knowledge Essential

Intermediate IT skills in Microsoft Office Packages, ie Word, Excel, PowerPoint and Outlook. Working knowledge of a range of administrative procedures including diary management and arranging appointments. Experience or understanding of creating electronic records, electronic filing systems. Ability to provide a high standard of secretarial support for meetings e.g. organising, booking venues and minute taking
