About this role

Job summary

We are looking for an afternoon Receptionist/Administrator to join our friendly and supportive team at Leagrave Surgery. This is an important front-line role where you will help patients access the right care while supporting the smooth day to day running of the practice.

We are looking for someone who is:

Friendly, approachable and professional Reliable, organised and able to manage competing priorities Confident communicating with patients and colleagues Comfortable using computers and learning new systems Able to work independently and as part of a team Committed to providing excellent patient services.

Previous experience in a GP practice or healthcare setting would be helpful as would the use of SystmOne, but not essential as full training will be provided, and you will be supported by an experienced team who take pride in delivering excellent care and service to our patients.

Main duties of the job

Answering telephone calls and responding to patient enquiriesWelcoming patients at the reception deskBooking and managing appointmentCompleting a variety of administrative tasksWorking closely with our clinical and administrative teamsHandling confidential information professionallyThe role is busy and varied, so you will need excellent communication and organisational skills, good attention to detail, and the ability to remain calm under pressure.

We work closely with four other GP practices as part of Hatters Health Primary Care Network (PCN), enabling us to collaborate, share expertise and develop services that benefit patients across our local community. Our clinical team includes GPs, nurses, healthcare assistants, pharmacists, MSK, Care Co-ordinators, Health and Wellbeing and social prescribers.

Accurately detail information on patients records within the clinical systemMaintain and monitor the practice appointment systemProcess personal, telephone and e-requests for appointmentsAssist with total triage administrationAnswer incoming phone calls, transferring calls or dealing with the callers request appropriatelySignpost patients to the correct serviceInitiate contact with and respond to, requests from patients, team members and external agenciesPhotocopy documentation as requiredInput data into patients healthcare records as necessaryDirect requests for information, i.e., DSAR, insurance/solicitors letters and DVLA forms to the administrative teamManage all queries as necessary in an efficient mannerSupport all clinical staff with general administrative tasks as requestedUndertake a broad spectrum of administrative duties commensurate with the roleBe an integral part of the general practice teamAct as a chaperone as requiredBe aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on safeguarding adults and safeguarding childrenSupport in the delivery of enhanced services and other service requirementsUndertake all mandatory training and induction programmesContribute to and embrace the spectrum of clinical governanceMaintain a clean, tidy, effective working area at all times

Person Specification

Knowledge and Skills Essential

Excellent communication skills and effective in communicating and understanding patient needs Competent in the use of MS Office and Outlook Ability to use own initiative, discretion and sensitivity Able to get along with people from all backgrounds and communities, respecting lifestyles and diversity. Problem solver with ability to process information accurately and effectively.

Qualifications Essential

A good standard of education with an expectation of having both GCSE Maths and English at Grade C (level 4) or above.

Desirable

NVQ level 2 in Health and Social Care

Experience Essential

Experience of working with the general public

Desirable

Experience of working in a GP Practice Experience of working with SystmOne Experience of administrative duties
