Job summary

We are looking for a Quality Administrator to join our friendly, innovative and well supported primary care team at Trafalgar Medical Group Practice

Main duties of the job

The Quality Administrator reports directly to the Business Manager with a dotted line to the Clinical Operations Manager and is responsible for supporting them in ensuring that practice claims and activity is accurately recorded, support with significant event audits and actions plans, coordinate education and training and support audit, reports and CQC monitoring.

About us

Trafalgar Medical Group Practice (TMGP) works from two sites in Southsea, one being Eastney Health Centre, the other Osborne Road. The successful 27,000 patient Practice continues to grow and has a medical team of 6 partners, and 12 salaried GPs. Our nursing team, led by our Clinical Manager, are very experienced and highly regarded. Along with a strong pharmacy team and physios they are all supported with an excellent admin, secretarial and reception team who work across both sites.

Job Summary

The Quality Administrator reports directly to the Business Manager with a dotted line to the Clinical Operations Manager and is responsible for supporting them in ensuring that practice claims and activity is accurately recorded, support with significant event audits and actions plans, coordinate education and training and support audit, reports and CQC monitoring.

Accountabilities

Coordinate practice income and claims, ensuring all eligible activity is accurately recorded, submitted and monitored, with regular income and payment checks working with the Business Manager and Clinical Operations Manager

Support quality and patient safety processes, including recording and coordinating significant events, learning events, audits and action plans working with the Clinical Operations Manager

Coordinate practice education and training by supporting the Partners and Clinical Operations Manager, maintaining training records, supporting mandatory training compliance and organising staff/student education activities.

Maintain accurate quality, compliance and performance records, supporting the practice with audits, reporting, CQC requirements and identification of areas for improvement.

Identification and practical drafting/proposal of SOPs and work instructions relevant to the area of responsibility.

Job responsibilities

Practice Claims

Coordinate all claims via the different reporting systems, including but not exhaustive QOF, Enhanced Services, Health Checks, FP34s, Flu, Coils etc

Identify recurring issues and escalate with proposed solutions

Supporting with coding queries on Systm One

Provide day-to-day trouble shooting for any coding issues

Develop SOPs for Practice Claims

Governance

Support the Clinical Operations Manager with SEA reporting, summarising reports, understanding trends etc

Support with the development of action plans

Records the discussion and any immediate support or adjustments required.

Education and training

Support the Clinical Leads with the administration of Clinical Meetings, TARGET and any ad hoc events

Support with Medical Student Education

Encourage team working and development

Ensure good staff communications

Compliance

Maintain accurate quality, compliance and performance records

supporting the practice with audits, reporting, CQC requirements and identification of areas for improvement.

Train and support staff in safe and effective use of the clinical systems.

Person Specification

Qualifications Essential

Understanding of confidentiality and data protection, especially in line with NHS data governance requirements Good organisational skills with the ability to prioritise workload and meet deadlines Effective communication skills, able to respond to queries from staff, suppliers, and external organisations Ability to work independently and as part of a team in a busy environment Strong IT skills, including proficiency in Microsoft Excel and Microsoft Office High level of accuracy and attention to detail, particularly when handling patient data Relevant experience in a Quality or administrative role, ideally within a healthcare, NHS, or GP practice setting GCSE grade A to C in English and Maths or equivalent

Desirable

Knowledge of NHS related Management Information Systems (e.g. SystemOne) Understanding of primary care funding and GMS contract
