Main duties of the job
As a GP Receptionist, you will be the first point of contact for patients, providing a friendly and professional service both in person and over the telephone. Duties include booking and managing appointments, signposting patients to the most appropriate service, handling enquiries, processing requests, maintaining accurate patient records, and supporting the smooth day-to-day running of the practice. You will work closely with clinicians and colleagues to ensure patients receive timely access to care while maintaining confidentiality at all times.

The following are the core responsibilities of the Receptionist role. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:
To have a thorough knowledge of all practice procedures
To work in accordance with written protocols
Maintain and monitor the practice appointment system
Process personal, telephone and e-requests for appointments
Answer incoming phone calls, transferring calls or dealing with the callers requests appropriately and efficiently
Signpost patients to the correct service
Initiating contact with and responding to requests from patients, team members and external agencies
Code data onto the clinical IT system
Photocopy documentation as required
Data entry of new and temporary registrations and relevant patient information as required
Input data into patients healthcare records as necessary
Direct requests for information, i.e., SAR, insurance/solicitors letters and DVLA forms to the administrative team
Manage all queries as necessary in an efficient manner
Complete opening and closing procedures in accordance with the duty rota
Maintain a clean, tidy, effective working area at all times
Monitor and maintain the reception area and notice boards
Support all clinical and administrative/management staff with general tasks as requested.

Qualifications Essential
Educated to GCSE level or equivalent Experience of working with the general public Excellent communication skills (written and oral) Strong IT skills Clear, polite telephone manner Competent in the use of MS Office applications Effective time management Ability to work as a team member and autonomously Good interpersonal skills Problem solving and analytical skills Ability to follow policy and procedure Flexible and cooperative Motivated Forward thinker High levels of integrity and loyalty Sensitive and empathetic in distressing situations Ability to work under pressure Flexibility to work outside of core hours DBS check
