Main duties of the job
The West Wing Clinical Research Centre Administrative Assistant/ Scheduler/ Receptionist post is an integral position within The West Wing Clinical Research Centre (WWCRC) team, under the supervision of the Sister of the unit and the Matron. The post holder will assist with all administrative aspects of the unit including data collection, reception and clerical duties to maintain an efficient, welcoming and proactive administrative and receptionist service.
The post holders must adopt a professional and caring attitude with a polite and courteous manner in all aspects of communication to staff and visiting patients and their families.
The post holders will assist with all administrative aspects of the unit including:
o Scheduling a range of treatments.
o Booking appointments.
o Providing a welcoming and helpful reception for day and outpatient areas.
o Data collection
o Other clerical duties associated with the running of the WWCRC
A uniform will be provided if required to ensure a neat and professional appearance.

These responsibilities will be carried out under the guidance of the Sister for WWCRCAppointments, scheduling, and capacity management
To deal with all patient research referrals from clinicians/ research nurses, ensuring that the treatment is scheduled within WWCRC guidelines. To liaise directly with the patient regarding their treatment, providing information and reassurance and managing patient expectations regarding their appointment. Clinic management
To pre-prepare all clinics. To manage overbooking. Reception duties
To run a highly efficient and patient-focussed reception service, including:
To meet and greet all patients and visitors to the unit in a professional, courteous, and friendly manner.
General administration
Maintaining filing systems as required, and ensures all appropriate paperwork is filed in the correct place. Ensuring accurate updating of patient demographic details on the Patient Administration System and medical notes.
