Job summary
We are currently looking for an enthusiastic individual with excellent communication skills to join our friendly Reception team and Admin team.
The main purpose of the Reception and Admin team at Derby Family Medical Centre is to to assist patients in obtaining healthcare appropriate to their needs in a effective, efficient and polite manner.
Main duties of the job
To deliver a quality service, dealing directly with patients, relatives, and carers either face to face or via telephone. To ensure all telephone calls are managed appropriately. To manage the flow of patients arriving at the reception desk, for appointments, prescriptions or queries. Reception responsibilities include general enquiries, booking and cancelling of appointments, making sure patient details are up to date and correct, copying and scanning of documents in a timely and accurate manner. Efficiently deal with patients and clinicians requests in line with practice policy. Assist patients in the completion of our total triage form ensuring relevant information is relayed clearly. To undertake clinical coding and associated patient record management to support the delivery of high-quality patient care. To ensure work is completed accurately, efficiently and within required timescales. To work collaboratively with colleagues across the Practice and contribute to a positive team environment. To maintain confidentiality and comply with Practice policies, procedures and information governance requirements. To manage and prioritise workload effectively, using initiative and demonstrating a flexible approach. To contribute to the ongoing development and improvement of Practice processes and services. To undertake training and professional development relevant to the role.

Job description Job responsibilities
Greeting and booking in or patients for surgeries and clinics. Dealing with patient enquiries efficiently and courteously. The receiving and recording of telephone messages taking appropriate action. Making appointments on Systm One, by processing appointment requests for on the day and future appointments from patients on the telephone and RapidHealth. Dealing with all telephone queries/requests from patients, and acting as liaison with the Doctors/Nurses as necessary. Pulling and filing medical records as necessary. Processing repeat prescriptions and filing for collection within 48 hours. Taking home visit requests Advising patients of relevant charges for private services Receiving specimens from patients ensuring all their details have been recorded whilst following Health & Safety policy. To have a thorough knowledge of all practice policies and procedures To work in accordance of written protocols Provide administrative support for clinical staff. Filing patient records and correspondence when necessary. Opening and distribution or practice post. Registering new patients following the Registration Protocol. Scanning of documents onto the medical system. To send letters to patients as necessary. Photocopying of notes and other information. Changing details on Systm One i.e. Change of address, telephone numbers etc Knowledge of south Asian languages (Punjabi and Urdu) Summarise and code patient records into the Practice computer system to a high standard. Read and process incoming correspondence, accurately coding relevant diagnoses, procedures and other clinical information within patient records. Review clinical correspondence and determine whether information or follow-up actions need to be brought to the attention of a GP or other appropriate member of the clinical team. Analyse patient records and extract and accurately record relevant clinical information to produce an accurate summary of the patient's medical history. Assign appropriate, industry-recognised clinical codes. Maintain and develop knowledge of anatomy, physiology and medical terminology relevant to the role.

Experience Essential
1 years experience in a customer service/reception environment Previous NHS experience Experience of using SystmOne (or similar) Experience of working in an administrative role within a busy environment. Experience of working with confidential and sensitive information. Experience of managing and prioritising a varied workload and working to deadlines. Experience of using computerised systems and maintaining accurate records. Experience of working effectively as part of a team.
Desirable
Previous experience of working within a GP practice or other primary care setting. Previous experience of clinical coding or summarising patient medical records. Experience of working with clinical correspondence. Experience of healthcare administration.
Qualifications Essential
Educated to GCSE including English or equivalent
Desirable
NVQ level 2 in a customer service or similar customer service qualification Relevant qualification or training in clinical coding. Qualification or training in medical administration or medical terminology. Knowledge or training in anatomy and physiology.
