Job summary
We are seeking a Clinical Administrator to join our Clinical Administration Team.
In this role, you will be an integral part of our Clinical Administration team, providing clerical and administrative support to a range of clinical staff across our Inpatient Units and Hospice at Home service.
Our Clinical Administrators contribute towards the smooth running of Myton's clinical services, promoting effectiveness and efficiency, and acting as a resource and point of contact for clinical staff, patients, families, visitors and volunteers.
You will be office-based, within the ward area, at our Coventry Hospice. You may also be required to travel to our sites in Warwick or Rugby. The designated working days for this role are Wednesday, Thursday, and Friday.
Main duties of the job
As a Clinical Administrator, a typical day might include:
Using our Patient Database to maintain & archive patient records Processing admissions & discharges documentation Handling calls from or liaising between patients, carers, families and clinicians Ensuring patients receive information materials on admission Monitoring stock levels or ordering supplies of stationery and nursing uniforms Updating clinical noticeboards & circulating the daily bulletin Booking transport for patients, via ambulance or our Volunteer DriversOther roles you might have experience of could include: Medical Secretary; Ward Clerk; NHS Administrator; GP Receptionist; Administration; Healthcare Administration.
This role will require a standard DBS check because you will be working in an adult healthcare setting. We will arrange & cover the cost of this check.

Role Purpose:
Working as an integral part of the Clinical Administration team to contribute towards the smooth running of Myton Hospice's Clinical Services by providing administrative support to clinical staff who are involved in caring for patients and their families. Promoting effectiveness and efficiency, acting as a resource for clinical staff, patients, their families, visitors and volunteers. To be the main point of contact for administrative matters.
(NB. As we are a multi- site organisation, some flexibility relating to place of work will be required. We reserve the right to change the work base of our employees to meet our business needs).

Main Duties & Responsibilities:
Support clinical administration across sites to meet operational requirements to ensure there is a core level of cross-cover between roles and that all key tasks are covered during colleague absences.Carry out administrative tasks including relaying messages as required relating to daily management of patient services within the In-Patient Unit.Receive telephone calls/contact from referrers, clinicians, patient relatives and visitors and support visitors.Liaise between the patients, families and Myton clinicians in an efficient manner when needed. This may include ensuring the Welcome Pack is available together with information relating to Myton Services, the option for patients and families to use their private medical insurance if wished, this must be discussed with a member of the nursing team.Maintain patient notes trolley ensuring notes are tidy and accessible and returning other external health care professional notes in a confidential manner following discharge.Update Clinical Noticeboards, Ward Diary and IPU Folders including Policy Folders; EMIS User Guides; Instructions when requested.Carry out requests made by the clinical team in relation to booking transport, interpreters etc.Maintain stock of required forms and stationery ensuring accessibility for Clinical staff.Plan weekly In-Patient Unit Multidisciplinary Team meeting including booking a room, send invitations, prepare paperwork.Support other clinical services with administrative tasks as necessary.Monitor stock levels, re-order clinical documentation and leaflets as needed. Liaise with volunteers to ensure clinical information packs are maintained.Shared responsibilities with other Clinical Administrators: DWP forms and Private Medical Insurance requests; Team Handbook and any updates; Filing and archiving of Hospice patient records both paper and electronic; Assist clinical staff with troubleshooting patient system-based issues; Support the clinical teams with the patient database when business continuity plan is initiated.Support the Clinical Administration Manager with work requested by the Director of Patient & Family Services and Clinical Directorate when required.Accurately maintaining patient records and the confidentiality of systems, both paper and electronic in accordance with the Data Protection regulations.Liaise with Palliative Care Teams, other Healthcare Professional /secretarial staff in the NHS to obtain information regarding patients.Any other duties commensurate with the post.General Responsibilities & Obligations of all Employees:

Qualifications Essential
Good standard of general education including English and Maths at GCSE or equivalent level

RSA Level 2 / NVQ or equivalent Minimum 2 years clinical administrative experience

Experience of providing effective administration support within a busy team in a clinical setting Understanding of patient confidentiality and handling confidential and patient sensitive data Supporting multiple people / teams within one role Knowledge of patient databases
