PROFESSIONAL SECRETARY II, 12 MOS ASC - Special Education Department 7:30 am - 4:30 pm Current secretaries use the internal bidding process to apply. All other current district employees (not a secretary), or external applicants apply online by completing the external application. Entry Wage 2026-27, $19.64/hr: Current secretaries with seniority please refer to the Wage Sections of the secretary contract. APPLICANT WILL BE REQUIRED TO PASS A PROFICIENCY TEST Duties & Responsibilities: (Essential Functions of Position, Major Responsibilities, Summary of Key Duties, Special Assignments, Relationships) Assist the District Special Education Department by maintaining confidential records; creating and maintaining databases; disseminating information[EK1] and correspondence; maintain communication with school buildings; assisting with multiple projects and initiatives of the Special Education Department; function as a liaison between department-parents and the professional support staff. Assisting Special Education Specialists and Inclusion Coaches in the carrying out of duties. Duties assigned may include, but are not limited to:
• Answer routine telephone and email inquiries regarding department programs and procedures. • Assist with scheduling meetings, appointments, conference room reservations, training, etc. • Coordinate specialized transportation and maintain spreadsheet of those students being provided transportation services. • Assist with Medicaid billing and work with building staff to ensure correct documentation with Medicaid billing • Maintain IEP Student updates in CAMPUS System • Collaborate with teammates to ensure efficient processes within the Department. • Prepare and assemble materials for in-services and meetings. • Open, sort and distribute incoming correspondence, including emails. • Assign budget codes for purchases. • Maintain current District Special Education student databases as needed and assigned. • Create and maintain multiple non-confidential and confidential files. • Maintain several detailed databases and generate reports as needed. • Maintain office supply inventory as needed. • Collaborate with Dept. Staff to support projects assigned. • Assist with organizing/preparing professional development locations throughout the course of the year. • Assist in inventory of department off-site storage units to maintain, categorize, and inventory supplies • Assist with textbook management system for inventory of Special Education curriculum materials. • Assist with maintaining Assistive Tech inventory and tracking. • Maintain records shared with other support personnel within Special Education. • Maintain a professional personal appearance and professional attitude to work cooperatively with department staff • Adhere to Board policies. • Maintain confidentiality. • Maintain a positive attitude when working with staff, community members and parents. • Other duties may be assigned. Physical Requirements of Position:
• Ability to routinely lift/carry office supplies and printed materials weighing up to 25 pounds, occasionally lift up to 50 lbs. • Ability to hear and understand speech at normal levels in person and/or on the telephone. • Ability to communicate so others will be able to clearly understand a normal conversation in person and /or on the telephone. • Ability to operate computer, calculator, copy machine, telephone, and other office equipment with dexterity and in a safe and efficient manner. • Must be able to ascend and descent stairs. • Must have a high school diploma or GED. • Maintain strict confidentiality with written and spoken communication. • Dependable and responsible with excellent attendance record. • Ability to work in a strong team environment and help build a team that performs as its best. • Proficient in Microsoft Word, Excel and PowerPoint, Google, and various database systems. Knowledge of CAMPUS and Destiny desired. • Effective communication skills, expertise in written and verbal communication including correct grammar and language usage. • Proven expertise at taking the initiative to accomplish projects.
