About this role

Job summary

We are looking for a part time , 30 hours per week) motivated and enthusiastic Personal Assistant/Project Support Officerwith a wide range of office skills.

The post holder will support the Head of Children's Services and Community Adult Health. They will work closely with the Community Health Teams across the borough.

The post holder will develop an understanding of the sector/Head of Service's responsibilities and thus support associated staff in carrying out their duties. To provide comprehensive administrative and personal support to Head of Children's Services. This will include management of diaries/establishment of electronic diaries, coordination of meetings, drafting correspondence, minuting meetings, monitoring expenditure and report writing. The post holder will manage the Honorary Contract process for health staff working across The Camden Partnership.

Main duties of the job

The post holder will work as an integral part of the Borough's Community Services, working closely with the Senior Management Team, Commissioners, Borough Director and Clinical Director, Team Managers, Business & Transformation Manager, Business & Performance Officer, clinical and medical staff and administrative staff, as well as other Trust staff and various internal and external agencies.

About us

This is a fixed-term appointment for the period specified. Completion of the contract does not, by itself, guarantee renewal or further or permanent employment.

The post holder will be required to work flexibly, assisting as and when necessary, which may involve them in a developing role.

To provide a comprehensive secretarial support service to the Head of Service.

To ensure that telephone calls, correspondence, and direct contact with callers are handled appropriately and professionally, using judgment and discretion where necessary. To manage diaries and arrange meetings and training events when required To service meetings on behalf of the borough, including producing agendas and taking and circulating minutes. To prepare documents (letters, memos, reports, etc.) for approval by copying or audio typing using Microsoft Office software as directed, ensuring all policies and procedures are followed. To be fully conversant with computer packages, promoting good presentation, including work-processing and spreadsheets. To be a proficient minute take, often for employee relations matters

Person Specification

Qualifications & Experience Essential

Degree or equivalent relevant experience or qualification. Appropriate Secretarial Qualification e.g. RSA Stage 3 or equivalent

PREVIOUS EXPERIENCE Paid/unpaid relevant to job Essential

Experience of administration within a complex area of business. Experience of minuting both large and small complex meetings to the highest standard Scheduling and setting agendas for complex, large, multi partner meetings.

Desirable

Experience of a large complex health care organisation/provider

Skills, Knowledge, Abilities Essential

Demonstrable skills in providing very senior level executive support and business support services to Director or Senior Manager level. Shorthand/Speed Writing Development and Implementation of office systems and procedures. Managing multiple, complex, electronic Diaries (familiar with Outlook Calendar). Experience of electronic mail and knowledge of computer networking systems. Ability to produce complex notes to short deadlines Be an effective communicator with excellent verbal communications and interpersonal skills, including influencing ability Be able to draft correspondence including letters, reports and minutes to a high standard on behalf of senior staff. Be able to work under pressure Ability to use initiative. Ability to work within a team setting. Ability to demonstrate commitment to own personal development. Ability to work as part of a multi-disciplinary team and switch between directors/teams.

Desirable

Accurate audio/copying typing (50 wpm minimum).
