The Role
The Facilities Officer oversees the daily operations, maintenance, and safety of the company's buildings, grounds, and physical infrastructure. They work with the maintenance staff, coordinate outsourced service providers and external contractors for project executions, repairs (HVAC, electrical, plumbing), manage janitorial services, oversee security, and ensure compliance with safety regulations.
Responsibilities
• · Facilities Operations: Inspects facilities regularly, log maintenance requests, and coordinate routine repairs for HVAC, plumbing, and electrical systems; ensuring that services are delivered in timely, safe and professional manner, to reduce costs and meet organizational goals.
• · Vendor Management: The facilities officer supervises third-party contractors, service providers and coordinates with external contractors, suppliers, and service providers for the execution of maintenance services and projects.
• · Proactive Service Delivery: Drives customer-centric, proactive service across all facility operations to exceed stakeholder expectations.
• · Janitorial & Housing Management: Monitors and enforces service level agreement compliance for the outsourced janitorial and housing management to improve operational efficiency and implement best practices.
• · Budget and Inventory: Tracks operational expenses, assist in managing facility budgets, and monitor stocks of office or maintenance consumables.
• · Administrative Support: The facilities officer maintains inventory of office supplies, manages meeting room bookings, prepares meeting reports, manages timesheets, raises job codes, and generates GRN for completed services.
• · Reliever Role: The facilities officer relieves the facilities supervisor and administrator when they are off duty.
Key Skills & Qualifications
• BSC in Facilities Management, Business Administration, Engineering, or a related field is highly preferred.
• 3-5 years of practical experience in facility upkeep, equipment diagnostics, or commercial property maintenance.
• Familiarity with mechanical, electrical, and plumbing (MEP) systems, alongside an understanding of standard occupational health and safety protocols.
• Strong knowledge of asset management, janitorial services, utilities management, infrastructure, and facility operations, with proficiency in the use of MS Office, and MS Excel.
• A knowledge of Asset Management and ERP systems is an advantage.
• Excellent communication, organizational, and problem-solving skills.
