About this role

Job summary

To be responsible for the efficient management and direction of the Administration Team ensuring all administrative duties are performed effectively and to the required standard, meeting the objectives of the practice.

Main duties of the job

Direct line management of the Administration Team

Monitor sickness and holiday requests and liaise with Practice Manager to highlight any patterns in regard to absences.

Oversee the day to day rota to ensure staffing levels are appropriate on daily basis.

Carry out and document staff appraisals and 1-1 meetings with each staff member and raise any concerns to the Practice Manager when appropriate.

Troubleshoot any patient queries that may arise on an ad-hoc basis.

Support in the organisation of regular admin meetings and prepare minutes to feed back to the team and senior management where appropriate.

Monitor own workload, including emails and tasks.

Support in the management of the Children and Adult Safeguarding lists in preparation for meeting with Safeguarding Lead.

Oversee QoF including Abtrace and liaise with Nurse Admin team to ensure all actions are dealt with and report back quarterly to the QoF team.

Assist with Patient Triage when experiencing staff shortages.

Answer telephone line when experiencing staff shortages.

Review complaints and deal with if appropriate to the team and redirect to Practice Manager where necessary.

To take responsibility for monitoring the responsibilities allocated to you within the in house HR system Practice Index.

Educated to GCSE level or equivalent Previous Line Management Experience Experience of working in a healthcare setting
