Administrative Assistant - Lake Winona Manor 1.0 FTE, 80 Hours Per Pay Period Shifts 8:00am to 4:30pm Monday through Friday Starting wage range $18.45 - $23.06. Wage placement based upon experience.
Position Overview:
The Administrative Assistant is responsible for providing clerical and administrative support to the clinical team. Assist with welcoming new residents, act as a liaison between facility and insurance agencies, and facilitate changes/updates in the EMR (electronic medical record). Assists in department projects as requested.
Essential Duties & Responsibilities:
• Maintains a safe and orderly work environment.
• Ensure resident rooms are ready for admission.
• Date Entry; Maintains electronic and physical records.
• Assists with admission authorizations, reviews, denials and appeals.
• Revises EMR and electronic scheduling workflows to support the clinical team.
• Participates in the accurate reporting of PBJ (Payroll-based Journaling) hours for the Center of Medicare and Medicaid Services.
• Engages in and supports continuous improvement initiatives.
• Assists with clerical procedures related to the MDS, including MDS scheduling.
• Assists with ICD-10 diagnosis and coding processes.
• NHSN vaccine compliance reporting.
• Assist with vaccination tracking/entering into the EMR.
• Other clerical duties as assigned

Skills and Experience:
Required:
• Efficient in ICD-10 coding or ability to be trained within 6 months of hire.
• Strong organization skills and attention to detail.
• Completes all mandatory training as required by Winona Health.
• Demonstrates exceptional verbal and written communication skills to assure resident information is accurate and reflective of their plan of care.
• Advanced computer skills and prior medical record experience.
• Proficient in Microsoft Office; Outlook, Excel, Word and Power Point.
• Valid Driver's License. CPR Certification.
Preferred:
• Understanding of Medicare/Insurance authorizations.
• Work experience in long term care.
• LPN or HUC experience.
Work Environment:
This is a fast-paced environment with multi-tasking, prioritizing and frequent interruptions. Continuous interpersonal communication is required with staff, volunteers and the general public.
Required Work Schedule:
Days; Monday-Friday 8-4:30 pm. Hours/shifts may vary according to the needs of the department. Employee must be willing to work assigned hours, reduce work hours and work overtime as needed.
