About this role
The Patient Care Technician I focuses on front-office and patient-facing administrative functions such as check-in, registration, insurance verification, and check out. As a key liaison between patients and clinical staff, the Patient Care Tech I ensures a welcoming experience and accurate documentation, contributing to a smooth and efficient clinical workflow. The ideal candidate brings strong customer service, attention to detail, and teamwork in a busy, fast-paced urgent care environment.
Key Responsibilities:
Patient Reception & Check-In:
• Greet patients warmly and professionally, creating a positive first impression.
• Verify and update patient demographics, insurance, and contact information in the EHR system.
• Collect co-pays and outstanding balances per clinic policy and issue receipts.
• Distribute and collect required patient forms and consent documents.
Registration & Administrative Duties:
• Ensure accurate completion and scanning of patient paperwork into the EHR.
• Confirm visit types and route patients appropriately within the clinic workflow.
• Schedule follow-up appointments and referrals as directed by clinical staff.
• Manage provider schedules and coordinate walk-in patients with minimal delays.
• Answer incoming phone calls, return messages, and provide basic patient guidance as appropriate.
Check-Out & Patient Coordination:
• Review visit summaries and ensure patiens leave with appropriate documentation.
• Provide patient education handouts as instructed by providers.
• Assist with outbound appointment reminders, insurance authorizations, and correspondence.
Team Collaboration & Compliance:
• Collaborate with providers, nurses, and other team members to ensure seamless patient flow.
• Maintain cleanliness and organization of frond-desk areas.
• Always upold HIPAA standards and patient confidentiality.
• Report issues related to patient experience or system problems promptly to the Team Lead or Business Director.
Qualifications:
• Previous experience in a front-desk or registration role within a medical office or clinic setting preferred.
• Proficient in use of EHR systems, insurance eligibility portals, and patient intake tools.
• Strong customer service and interpersonal communication skills.
• Ability to manage multiple tasks with accuracy in a fast-paced environment.
• Familiarity with HIPAA, OSHA, and front-office compliance practices.
• Ability to work in high-traffic, fast-paced clinical settings with frequent interruptions.
• Requires professional appearance, demeanor, and discretion when handling sensitive information
Education:
• High School diploma or GED required
• Certified Medical Assistant (CMA), Registered Medical Assistant (RMA), or EMT certification preferred
• Completion of a formal Medical Assisting program or equivalent on-the-job experience preferred
