We would love to hear from you! Summary/Objective Provide clerical support to an assigned department. Provide all tasks given by supervisors. Essential Job Duties Excellent customer service and communication skills. Demonstrate regular and predictable attendance. Time management and organizational skills. Attention to detail. Computer usage and ability to use office equipment, such as copier, multi-line phone system, fax machine, scanner machine and ten key. Learn and use the Nursery hardware and software and enter seedling orders into system. Utilize software programs such as Word, Excel, Access, Raptor (MDC Financial System), Outlook, etc. Correspond and communicate with internal and external customers via phone, email and in-person discussions. Wait on walk in customers purchasing and picking up seedlings. Which includes, answer general nursery questions, questions about other Department programs and making sure they are satisfied with our product and services. Maintain literature is full in the office out front for customers. Town errand (bank, post office and store (if needed). Assist staff with bid and budget preparation and reporting. Assist supervisors in filling out all the proper personnel paperwork (I-9’s W-4’s, Hourly Employment Memorandums, Memos, Safety Certification Forms, etc.). Verify and process expense reports and invoices for payment. Order office supplies and furniture and manage vendor contracts. Maintain office supply inventory and make purchases. Ancillary Job Duties Back-up and/or assist other administrative personnel, when needed. Troubleshoot office machines, tablets and laptops. Other duties, as assigned. Education and Experience High school diploma or GED/HiSET required. Three (3) years of administrative experience and general office support work. Experience with Microsoft applications, including Word, Excel, and Access. Must maintain a valid, current driver's license. Knowledge, Skills and Abilities Perform administrative functions including coordinating travel arrangements and assisting with meeting organization. Compose correspondence and reconcile internal reports. Prepare data and documents for presentations including PowerPoint development and compilation of information and graphs. Provide administrative assistance on all contracts, cooperative agreements, and grants including editing documents, preparing reports and documents for review, and sending communication to staff and partners regarding payments and reports. Answer departmental process questions for internal and external stakeholders and provide training when necessary. Develop brochures, fliers, presentations and other creative displays, as needed. Develop and sustain cooperative working relationships. Work Environment Work is performed in a standard office environment. Physical Abilities Regular attendance is a necessary and essential function. Constantly operate a computer and other office productivity machinery. Concentrated attention is required at all times. Frequently communicate and exchange accurate information. Clarity of vision at 20 inches or less. Remain in a stationary position 70% or more of the time. Regularly lift up to 5 pounds, correctly lift up to 10 pounds.
