Department Overview Proudly serving as Minnesota's children's hospital since 1924, Children's Hospitals and Clinics of Minnesota, is the eighth-largest pediatric health care organization in the U.S. Each year, Children's provides care through nearly 13,000 inpatient visits and more than 200,000 emergency room and other outpatient visits. An independent, not-for-profit health care provider, Children's has 319 staffed hospital beds and services available in all major pediatric specialties: emergency care; newborn and pediatric intensive care; outpatient and inpatient surgery; diagnostic services, including radiology and laboratory; and special programs in the areas of respiratory, cardiology, cancer, premature birth, adolescent development, child abuse, and epilepsy. In addition to our Minneapolis and St. Paul Campuses, Children's also includes Children's West, a pediatric care center in Minnetonka offering same-day surgery as well as diagnostic, rehabilitative, and developmental outpatient services; Children's - Roseville, an outpatient pediatric rehabilitation center; and Children's Clinics - Woodwinds, pediatric specialty clinics at the Woodwinds Health Campus in Woodbury. The Children's Minnesota Department of Pediatric Hospital Medicine (PHM) is committed to advancing the health of infants, children, and adolescents through high-value, evidence-based, family-centered care within the hospital and across health systems to promote the health and equity of all children. We partner with the University of Minnesota Pediatrics, Medicine/Pediatrics Residency, and multiple regional Family Medicine Residency Programs to offer broad-based training in pediatrics in the inpatient setting. Integrated with our educational activities, these programs provide hands-on learning to equip graduates with the skills they'll need as future advocates of children's health.

The Administrative Assistant-Senior serves as liaison while providing proficient administrative support and operation of the designated department and/or senior leader and providers within the Pediatric Hospital Medicine department. In this role, the Administrative Assistant-Senior will be required to work independently within the established procedures associated with the specific job functions listed below:

*screen calls and responds to or routes routine inquiries from internal or external sources with appropriate correspondence or other messaging *greeting and directing visitors *maintaining and scheduling appointment calendars *handling various forms of mail (i.e. paper, email, overnight express, fax) *ordering office supplies and furnishings *arranging for equipment repairs *maintaining filing systems and/or computerized record keeping systems and/or databases *completing standardized forms *create and prepare presentations for internal and/or external meetings *handle all confidential correspondence and inter-department communications *attend meetings and take minutes *compose correspondence on behalf of the Sr Director and Directors supported *provide on-boarding support for new hires and internal transfers, as needed *manage and coordinate department policies and oversee the policy review process. *perform other duties, as assigned

License/Certification/Registration required? No

Education: *High school degree or GED, required

Experience: *Three-year experience in a general office setting OR one-year experience with completion of specialized training/certification in the administrative professional field, required *Experience in healthcare/hospital setting, preferred

Knowledge/Skills/Abilities: *Proficient and demonstrated competency in MS Office Suite applications *Strong oral and written interpersonal, communication and organizational skills *Ability to work within a team and as an individual contributor in a fast paced, evolving work environment *Ability to deal with highly confidential information in a professional manner *Ability to work under pressure and meet tight deadlines

The posted salary represents a market competitive range based on salary survey benchmark data for similar roles in the local or national market. Annual salaries displayed are based on full-time employment (40 standard hrs per week). Annual salaries for part-time positions will be prorated based on the employee’s scheduled weekly hours in relation to the full-time standard. When determining individual pay rates, we carefully consider a wide range of factors including but not limited to market indicators for the specific role, the skills, education, training, credentials and experience of the candidate, internal equity and organizational needs.

In addition to your salary, this position may be eligible for medical, dental, vision, retirement, and other fringe benefits. Positions that require night, weekend or on-call work may be eligible for shift differentials or premium pay.
