Job summary

Courtside Surgery is looking for an enthusiastic, reliable Administrator to join our team in supporting our patients and clinical staff at the surgery.

We are seeking someone who enjoys working part of a team as well as independently, who can multi-task and thrives in a busy working environment.

A keen eye for detail is essential. Flexibility is important to be able to cover colleagues during periods of sickness or holidays.

Training will be given in all aspects of the job, so the successful candidate must be keen to learn new skills and enjoy a varied role. Candidates must be confident using IT.

This is a part time role for 21 hours over 3 days.

Interviews will take place on Wednesday 21st October.

Main duties of the job

To provide efficient and accurate administrative support to the practices prescription and medicines management processes. The role involves processing repeat prescription requests, dealing with patient enquiries, liaising with pharmacies and other healthcare professionals, and ensuring prescription-related tasks are completed safely, promptly and in accordance with practice procedures.

The post holder will work closely with GPs, prescribing clinicians, pharmacists, reception and administrative staff to support the safe and effective delivery of the practices prescription service.

Courtside Surgery is a busy GP practice in Yate caring for around 15200 patients. Our administrative team deal with a wide range of patient queries and tasks.

Job responsibilities:

Process repeat prescription requests on a daily basis received via online services, the NHS App, written requests and any other approved methods. Ensure prescription requests are accurately recorded and processed for GP signature in accordance with practice procedures and in line with agreed timescales. Ensure prescription-related records and documentation are accurately maintained. Deal appropriately with urgent prescription requests in accordance with practice policy. Liaise with patients, pharmacies and other health care professionals by email, phone or in person responding to and actioning queries and requests Action and make the necessary medication changes directed by clinical correspondence in line with practice protocols Ensure all required monitoring is up to date for patients requesting medication Be the main point of contact for all prescription queries from a range of healthcare professionals including GPs, pharmacists, local pharmacies, nursing homes, community staff, reception, admin) Assist the broader admin team as required with a range of administrative tasks commensurate with the role

Person Specification

Knowledge & skills Essential

Experience of working in an administrative role. Good general education including GCSE passes in Maths and English or equivalent. Proficient in IT and willingness to learn new systems. Ability to prioritise workload. Able to work proactively, multi task and use initiative. Excellent communication skills (written and verbal). Accuracy and attention to detail. Flexible approach to undertaking a wide variety of tasks. Willingness to learn new skills and processes. Team player. Confident in working independently Clear & polite telephone manner

Desirable

Experience working in a GP surgery or other NHS/medical organisation Experience of managing confidential information. Experience of working in a customer focused environment. Knowledge of clinical systems in healthcare Knowledge of prescription process Medication and prescription terminology
