Job summary
The Medical Secretary will provide a comprehensive, efficient and confidential administrative and secretarial service to the GPs and wider clinical team.
The post holder will support the smooth running of the practice by undertaking administrative duties relating to patient care, correspondence, referrals, investigations, clinical documentation and communication with secondary care and other healthcare professionals.
The Medical Secretary will work closely with the clinical and administrative teams to ensure that information is processed accurately and in a timely manner, supporting the delivery of safe, effective and patient-centred care.
Main duties of the job
The postholder will liaise with clinicians, patients, hospitals and other healthcare providers, ensuring information is handled confidentially and appropriately. They will monitor outstanding work, identify and escalate urgent or time-sensitive matters, and ensure referrals and correspondence are processed in accordance with practice procedures and required timescales.

Job description Job responsibilities
Medical Secretarial Support
Provide effective secretarial and administrative support to GPs and the wider clinical team. Deal appropriately with requests for medical information and documentation. Prepare reports, letters and other documentation as requested by clinicians. Maintain an organised and efficient system for managing administrative tasks and correspondence. Monitor outstanding administrative work and ensure tasks are completed within agreed timescales. 2. Referrals
Process and manage GP referrals to secondary care and other healthcare services in accordance with practice procedures. Ensure referral information is complete, accurate and appropriate before submission. Upload and attach relevant clinical information and supporting documentation. Process urgent, two-week-wait and routine referrals appropriately and within required timescales. Monitor referral-related correspondence and ensure information is passed to the appropriate clinician or team. Liaise with hospitals, community services and other healthcare providers regarding referral queries. Follow up rejected or returned referrals as directed by the clinical team. Escalate any concerns regarding urgent referrals or delays to the appropriate clinician or manager. 3. Clinical Correspondence
Ensure correspondence requiring clinical action is appropriately brought to the attention of the relevant clinician. Identify and appropriately flag urgent or time-sensitive information. Maintain confidentiality when handling all patient information. Ensure documents are accurately scanned, attached and coded to the correct patient record. 4. Communication
Act as a point of contact for administrative queries from GPs, practice staff, hospitals and other healthcare professionals. Communicate professionally and courteously with patients when required. Deal appropriately with telephone and written enquiries within the scope of the role. Liaise with external organisations and healthcare providers where necessary. Escalate clinical queries to an appropriate clinician rather than providing clinical advice.

Skills and Knowledge Essential
Excellent written and verbal communication skills. Good attention to detail and accuracy. Ability to prioritise workload and work to deadlines. Ability to work independently and as part of a team. Good organisational and time-management skills. Confident IT skills. Ability to deal sensitively and professionally with patients and healthcare professionals. Understanding of confidentiality and information governance.
Desirable
Previous experience working in general practice. Knowledge of GP referral processes. Experience using EMIS. Knowledge of NHS e-Referral Service (e-RS). Understanding of NHS primary care processes. Experience of processing two-week-wait/urgent referrals. Knowledge of CQC or other primary care requirements.
Experience Essential
Previous experience in a medical secretarial, GP practice, NHS or healthcare administrative role. Experience of handling confidential and sensitive information. Experience of working with electronic patient records. Good understanding of administrative processes within a healthcare environment.

Experience in working in Primary Care
