About this role

Job summary

An exciting opportunity has arisen to join Team MWL as a Apprentice Systems/RA Administrator in our Systems Admin team based at Jubilee Court, St Helens.

This is a 24 month fixed term training post of 37.5 per week. On successful completion of the apprenticeship programme, you will become aSystems/RA Administrator on Band 3.

As an apprenticeship this role is supported by an accompanying assessment and skills development programme, during which the post holder will gain the skills and knowledge relevant for this role. Learning will be a mix of in the workplace, formal on and off the job training, and the opportunity to practise new skills in a real work environment. On successful completion of their Apprenticeship, they will have the right knowledge, skills, and behaviours they need for their chosen role.

Main duties of the job

The Systems Administrator / Registration Authority (RA) Administrator is responsible for the administration, maintenance, and integrity of clinical and corporate system data, ensuring that information is accurate, secure, and maintained in accordance with NHS standards and local policies. The post holder provides essential support for user access management, Registration Authority services, and smartcard administration, enabling staff to securely access the systems required to deliver patient care and operational services.

Working as part of the ITOperations Team, the post holder will maintain reference data, system configuration records, and supporting documentation across a range of healthcare applications. They will liaise with clinical, operational, and technical staff to ensure systems remain up to date, access controls are appropriately managed, and changes are implemented accurately and efficiently. The role requires a high level of attention to detail, excellent customer service skills, and a commitment to maintaining data quality, information governance, and confidentiality standards.

The post holder will contribute to the effective delivery of digital services by supporting system users, assisting with service improvements, and ensuring that digital systems and access controls continue to meet the operational needs of the Trust and its partner organisations

Key Responsibilities to be gained over the period of the apprenticeship:

To set up methods of capturing the reference data required and ensuring that updates are received on a timely basis.

To introduce electronic mechanisms of cataloguing the information/updates that are received so there is an audit trail to support all changes made to the system.

To support/manage RA in the creating/issuing smartcards.

To work with staff both within and outside Informatics to ensure that system knowledge is maintained at a high standard.

To administer and build all documentation required to support user functions (including letters, forms, patient leaflets, etc).

Ensure confidentiality of patient data at all times, by awareness and compliance with existing legislation and good practice, for example Data Protection Act 1998; Caldicott principles and recommendations; local policies and procedures.

Health & Safety all employees are required by Section 7 of the Health & Safety at Work Act to take reasonable care of their own health and safety and that of others who may be affected by their acts and omissions.

ADMINISTRATIVE RESPONSIBILITIES

To document working procedures to the agreed format. Documentation to be up to date and accessible to appropriate staff at all times.

To ensure that all reference data is kept to a standardised format and the quality of this data is maintained both initially and into the future.

To record all required information and changes necessary on the appropriate system in a timely manner. Data groups to include: Clinics, Staff Groups, Locations, Clinic Sessions, Wards, Professional Carers, Local Specialty codes

Qualifications Essential

Educated to GCSE level (including Maths and English) and/or equivalent qualification and/or experience

Knowledge & Experience Desirable

Able to communicate with a range of people, in a way that is clear and understood. Demonstrate an ability to work as part of a teamwork to achieve a common goal. Can plan, organise, and effectively prioritise tasks to achieve the required objectives. Can effectively manage own time and activity to meet deadlines. Demonstrates an understanding of the NHS.
