We are looking for an Administration Assistant to join our 0-19 Children and Young People's Public Health Service, based within our Dorset team.

The successful candidate will provide efficient and effective administrative support to our clinical team, helping to ensure the smooth delivery of services and enabling the best possible care for the children, young people, families, and communities we serve across the locality.

We are seeking someone who:

Has excellent organisational and time management skills. Is able to work accurately and pay attention to detail. Has good verbal and written communication skills. Can work independently and as part of a team. Is confident using Microsoft Office applications, including Word, Outlook, and Excel. Demonstrates a professional and flexible approach to work. Has a commitment to providing excellent customer service. The successful candidate will be required to work on Mondays, Thursdays, and Fridays.

Main duties of the job

To provide efficient and effective administration support to the 0-19 Public Health team.

To undertake a range of administrative duties including maintenance of office systems and tools.

To provide a professional and courteous response to the general public/clients/carers who have contact with the Children's and Young People Services either by phone or face to face.

Employment in this post requires an Enhanced Disclosure and Barring Service (DBS) check, which the Trust will cover the cost of.

Person Specification

Knowledge, Skills and Training Essential

Administration qualification - RSA level 2/NVQ level 2 or equivalent Computer literate GCSE Maths & English or equivalent

Job Specific Experience Essential

Experience of using/or a willingness to learn to use of Integrated Patient Information Systems including SystmOne Understanding of and experience of working at all times in a confidential manner. Indirect patient contact by telephone and recording of this contact Demonstrable experience of accurate data entry Demonstrable organisational skills, including self-organising and prioritising and the ability to multi-task

Desirable

Relevant office administration experience

Information Technology/Resources Desirable

Experience of note taking and/or minute taking Demonstrable experience of using the Microsoft Office suite including Word, Excel and PowerPoint and other software applications

Personal Qualities/Attributes Essential

Evidence of demonstrating the Trust's values and behaviours The ability to use own initiative and to work well in a team Experience of dealing with confidential and sensitive situations Excellent interpersonal skills including dealing diplomatically in sensitive situations
