Job Overview As the key operational lead for the CLS Laboratory’s materials and assets management function, the role involves establishing and maintaining end-to-end management mechanisms for samples, laboratory consumables, shared equipment and waste. In addition to day-to-day warehouse operations, the role entails standardising processes, managing system data, analysing anomalies, coordinating across departments and driving continuous improvement, thereby supporting laboratory efficiency, traceability, asset utilisation, EHS compliance and TEOA objectives. Job Requirements Sample lifecycle management: Managing the receipt, identification, grouping, labelling, storage, issue, return, retention, age-of-stock checks and final disposal of samples to ensure consistency between the system records and the physical items. • Warehouse System Development: Establish and maintain functional zoning, storage location coding, standard operating procedures, stock-taking mechanisms, capacity models, visual management and 5S standards. • Laboratory Consumables Management: Establish consumables master data, classification, minimum/maximum stock levels, reorder triggers, issue records, obsolete stock analysis and stock optimisation mechanisms; coordinate with procurement and relevant responsible parties. • Shared Asset Management: Establish asset inventories, borrowing and return mechanisms, expiry reminders, status checks, calibration/maintenance interfaces and utilisation analysis for power loggers, data loggers and portable instruments. • Scrapping and Valuable Recycling: Organise inventory classification, disposal applications, weight verification, handover to suppliers, evidence archiving, financial reconciliation and revenue analysis, ensuring compliance with contractual, EHS, Finance and legal requirements. • Data and Systems Management: Maintain master data and transaction data in IDEAS, SharePoint, QR code ledgers or successor systems; establish KPI dashboards and analyse inventory accuracy, search times, return compliance, age of stock, space utilisation and recovery value. • Anomaly and Risk Management: Investigate inventory discrepancies, losses, damage, expiries and process deviations; drive corrective actions and escalate significant risks to the Head of Laboratory. • Continuous Improvement: Identify waste, conduct labour and process analyses, drive layout and process improvements, and track the effectiveness of these improvements. • Cross-departmental Collaboration: Collaborate with laboratory engineers, technicians, Facilities, EHS, Procurement, Finance, IT, Legal and third-party suppliers. • Training and Back-up: Train warehouse users and process participants, maintain job descriptions and training records, and establish a back-up mechanism for critical tasks. What your background should look like · Associate degree or above. Majors in Mechanical Engineering, Electronics, Mechatronics, Logistics, Industrial Engineering, or related fields are preferred. · Typically requires 2+ years of experience in laboratory technical support, warehouse operations, materials management, asset management, manufacturing engineering, or related areas. Exceptional candidates may be evaluated based on internal job leveling standards. · Proficient in Microsoft Excel and other office applications. Experience with IDEAs, SharePoint, ERP systems, QR code systems, or asset management systems is preferred. · Able to understand laboratory samples, basic instrument status, calibration labels, EHS requirements, and waste disposal procedures. · Strong capabilities in data analysis, problem solving, cross-functional communication, and standard operating procedure (SOP) development. · Fluent in written and spoken Chinese, with the ability to read and understand basic English system fields, equipment labels, and work documents.
