Job Description: Position: Administration Support Department: Accounting/Payroll Reports to: Payroll Administrator Position Managed: None Location: Bronx Zoo Scope: Bronx Zoo Duration: Approximately 2-3 months, or until project completion Employment Type: Temporary/Seasonal Status: Non-Exempt Grade Level: Hourly Pay Rate: Starting at $18/hour - $20/hour depending on experience and qualifications Schedule: Monday through Friday during regular business hours (approximately 9:00 AM to 5:00 PM), 6-8 hours per day. Full-time availability (35-40 hours per week) preferred.
Job Summary: The Payroll Department is preparing for an office relocation scheduled for later this year and is seeking a dependable and detail-oriented Administration Support employee to assist with organizing, reviewing, scanning, labelling, cataloguing, and storing payroll records and other departmental documents. This position will play an important role in ensuring that records are accurately maintained and prepared for relocation in accordance with departmental procedures and instructions. The ideal candidate is highly organized, able to work independently, follows directions well, and can be trusted to handle confidential information with discretion.
Essential Responsibilities: • Support the Payroll Department's records management and office relocation project. • Review paper files, boxes, filing cabinets, and other stored records alongside Payroll staff. • Organize, sort, and prepare documents for scanning, storage, or disposal in accordance with departmental procedures. • Scan payroll and administrative documents using department equipment. • Properly label, index, file, and catalogue scanned and physical records. • Ensure documents are stored, boxed, and organized accurately for relocation and future retrieval. • Follow established document management and file retention procedures. • Maintain organization of files and records throughout the project. • Track completed work and report progress to the Payroll Administrator. • Handle sensitive and confidential employee and payroll information appropriately. • Assist with general administrative tasks related to the project as assigned. • Collaborate with Payroll team members to ensure records are processed according to departmental standards. • Perform other related duties as assigned.
Qualification Requirements: • Ability to work during normal business hours. • Strong attention to detail and organizational skills. • Ability to follow instructions and established procedures. • Ability to manage repetitive tasks with accuracy. • Basic proficiency with Microsoft Office applications. • Comfortable learning and operating scanning and document management equipment. • Ability to maintain confidentiality and exercise discretion when handling sensitive information. • Reliable, dependable, and able to work independently with minimal supervision. • Strong time management and communication skills.
