About this role

We are seeking an experienced candidate to join our diverse and expanding team in the position of:

Executive Assistant

Orchid Development is a division of the Flowers Group of companies. As the parent company of Cricket Square, Orchid Development also manages Orchid Realty, Flowers Restaurateurs and The Club.

We are seeking a highly organized, discreet and proactive Executive Assistant to provide high-level executive administrative support to our CEOs and Senior Management, serve as the primary point of contact for internal and external stakeholders, ensuring efficient governance support.

Responsibilities include, but are not limited to:

• Manage and maintain the executive’s schedule, calendar, and appointments

• Manage and maintain business licenses and permits, including applications, renewals and updates

• Maintain accurate and up-to-date records of the company’s legal documents, insurance policies (property, liability, workers’ compensation, vehicle and other specialized coverages), contracts and other significant documents and important records

• Handle correspondence, emails, and calls

• Prepare reports, presentations, and business documents

• Organize and maintain confidential files and records

• Schedule and coordinate meetings, conferences, and appointments

• Prepare meeting materials, agendas, take minutes, and follow up on action items

• Arrange travel logistics, accommodations, and itineraries

• Support strategic initiatives by conducting research and compiling data

• Assist with budgeting, expense tracking, and invoice processing

• Coordinate with internal teams and external stakeholders

• Handle sensitive information with the highest level of discretion and confidentiality

• Serve as Chair and Coordinator of the Orchid Development Social Committee

• Collaborate with Finance and HR to schedule training that aligns with department budgets

• Support the Administration team in managing employee IT requirements

• Be a joint partner in upholding company’s core value of environmental sustainability

• Support and make recommendations for community support and charitable effort initiatives

• Assist with any other duties

Education/Experience

• Bachelor’s degree in business administration or related field

• Minimum of five (5) years’ professional experience providing Executive Assistant support directly to CEOs, C-Suite executives, business owners or equivalent senior-level executives

• Demonstrated experience supporting senior executives in a complex business environment, exercising discretion and independent judgment while managing multiple concurrent priorities.

• Proven experience coordinating executive-level projects involving multiple departments, corporate entities and external professional stakeholders.

• Demonstrated experience in corporate administration, including business licensing and regulatory requirements, corporate and compliance documentation, and insurance administration

Knowledge, Skills & Abilities

• Exceptional organizational, planning and time-management skills, with the ability to manage multiple complex and competing priorities in a fast-paced executive environment.

• Demonstrated ability to anticipate executive requirements, exercise sound judgment, identify priorities and progress matters independently with minimal supervision.

• Strong project coordination and problem-solving skills, with the ability to manage complex assignments involving multiple companies, departments and external stakeholders.

• Strong working knowledge of corporate administration, including business licensing, regulatory compliance, insurance administration, corporate records and due-diligence requirements.

• Excellent written and verbal communication skills, including the ability to independently prepare high-quality executive correspondence, reports, presentations, briefing materials, policies and procedures.

• Strong research and analytical skills, with the ability to evaluate information, identify relevant issues and provide practical recommendations to management.

• Exceptional attention to detail and accuracy, particularly when handling legal, regulatory, financial and other commercially sensitive information and documentation.

• Strong interpersonal skills and professional judgment, with the ability to communicate confidently and effectively with CEOs, senior executives, government agencies, professional advisers and other internal and external stakeholders.

• Demonstrated positive collaborative approach, with the ability to work effectively as part of the Administration team and across departments, while also operating independently and taking ownership of assigned responsibilities.

• Ability to maintain the highest degree of discretion, professionalism and confidentiality while working effectively under pressure and adapting to changing executive and operational priorities.

• Advanced proficiency in Microsoft Office, including Word, Excel, PowerPoint and Outlook.

• Hold a valid Cayman Islands driver’s license.
