About this role

Leadership & Capability Coordinator

There's a good chance you've heard of Te Waihanga. We're a small, independent Crown entity with a big job: shaping New Zealand's infrastructure system to work better for all of us, now and for future generations. From the roads and railways that connect us to the pipes and powerlines that keep the lights on, we're here to help New Zealand's infrastructure deliver more value.

Our Leadership & Capability team, part of our Investment team, works to strengthen infrastructure leadership across New Zealand's public sector. We help senior leaders build the knowledge, skills and mindsets they need to lead complex projects with confidence, through tailored programmes, masterclasses, peer networks and development experiences. We're now looking for a Leadership & Capability Coordinator to help bring this work to life.

About this role | Mō tēnei tūranga mahi

As our Leadership & Capability Coordinator, you'll be at the centre of delivering our learning events, peer network sessions and development activities. You'll manage events from start to finish, from logistics, scheduling and vendor engagement through to participant communications and on-the-day support, for both in-person and virtual events. Working closely with the team and subject matter experts from across the sector, you'll make sure every event runs smoothly and delivers a great experience.

In this role, you will:

• Coordinate multiple learning programmes and network events, including venues, catering, presenters, registrations, materials and feedback.

• Deliver on-the-day support for in-person events and manage the technical side of virtual events on Zoom and MS Teams.

• Coordinate invitations, briefings, scheduling and follow-up with senior public sector leaders.

• Maintain the team's work programme, tracking deadlines, dependencies and risks, and manage event budgets, invoices and procurement records.

• Keep training records and participant data accurate and up to date, and produce post-event evaluation reports.

• Support vendor procurement, proof and format documents and presentations, and help promote our initiatives, including through our LinkedIn community.

• Identify opportunities to improve our processes, tools and templates.

You will bring skills or experience in areas such as | E riro ai i a koe tēnei tūranga me whai wheako koe ki ngā tūmahi pēnei i ēnei

• Coordinating multiple learning programmes, events or workshops at the same time, both virtual and in person.

• Managing relationships with stakeholders and vendors, and engaging confidently with senior leaders.

• Tracking a work programme, including priorities, milestones and reporting, and knowing when to escalate.

• Monitoring budgets, processing invoices and keeping accurate financial and procurement records.

• Gathering and analysing feedback and evaluation data to support reporting and improvement.

You will also have | Me whai hoki e koe

• Exceptional organisation and attention to detail, with the ability to stay calm and flexible when priorities shift.

• Strong written communication skills.

• Confidence with databases, spreadsheets and Microsoft Office, and experience supporting virtual delivery through Zoom and MS Teams.

• Sound judgement, discretion and professionalism when handling sensitive information.

• A problem-solving mindset and the initiative to anticipate needs before they arise.

• A commitment to inclusive, accessible and culturally responsive programme delivery, and an understanding of the New Zealand public sector and Te Tiriti o Waitangi.
