Job Summary: The MLE Secretary/Central Office Receptionist provides a high level of secretarial, administrative, and operational support to the Director of Multilingual Education and Family Engagement and Central Office duties. Qualifications:
• High school diploma or equivalent (GED), AA or BA degree preferred;
• Bilingual Spanish preferred, other languages considered;
• Ability to navigate through various computer programs while multitasking and responding to Central Office/Reception needs;
• Works cooperatively and effectively in a team environment;
• Ability to recognize and resolve discrepancies with minimal assistance;
• Must possess excellent organizational skills. Strong attention to detail and ability to meet deadlines in a timely manner;
• Possess knowledge of computers for word processing, data management, information retrieval, telecommunications, and database and spreadsheet programs, including but not limited to, Microsoft Office suite, Google Docs, and ASPEN;
• Good knowledge of spelling and grammar in the English language;
• Demonstrated ability to communicate clearly and effectively, both orally and in writing;
• Ability to work independently and exercise good judgment to support daily operations;
• Ability to establish and maintain positive interpersonal relationships and work collaboratively;
• Ability to work effectively with teachers, support staff, and parents and advocate for children in order to effectively problem solve;
• Strong interpersonal, communication, and organizational skills and ability to work with all stakeholders;
• Belief in the commitment to increasing personal growth, both academic and social-emotional, to obtain the highest level of achievement for every student.
Essential Duties & Responsibilities: The MLE Secretary/Central Office Receptionist will: Central Office Receptionist Duties:
• Monitor and screen incoming visitors to determine and direct their appointments;
• Provide a welcoming environment to all visitors by greeting each visitor;
• Receive, sort, and distribute incoming mail and outgoing mail;
• Answer incoming calls and direct/transfer callers to appropriate personnel;
• Troubleshoot incoming calls/inquiries to determine appropriate assistance;
MLE Secretary Duties:
• Order supplies for the Enrollment Department and MLE Department;
• Work collaboratively with the Enrollment Department to identify incoming Multilingual students;
• Collect and manage EDWIN Reports as needed;
• Monitor New LEP student screening results and update Screener Scores in district databases;
• Distribute supplies to and maintain communication with ESL Teachers as needed;
• Communicate with Multilingual families as needed;
• Work collaboratively with Family and Community Engagement Coordinator;
• Provide data and information reports to the Director of Multilingual Education;
• Distribute supplies MLE Department to schools
