Attendance Secretary Grade 19 Step 1 205 Contract Job Goal: Serve as secretary for the office or assigned staff member. Duties will vary by specific assignment. Essential Duties and Responsibilities: o Checks attendance daily as entered into database by teachers. Prepares and sends attendance letters as required. Verifies accuracy of absence data and submits referrals to Juvenile Probation Officer. o Confirm with administration that referrals are valid. o Update attendance boards weekly/monthly. o Verifies attendance entries. o Sign in/out with the attendance office when students come in or leave campus. o Work closely with JPO on truancy matters and sends out letters to parents. o Assists administration, counselors, and staff in any social problem. o JPO/CYFD/Ancillary / Non-District Service Providers. o Assists with student visits and providing necessary documentation (ex: grades, attendance, person summary.) o NSP- Communicates with HR for background and clearance. o Schedules for ancillary staff. o Raptor system o Assist security with camera surveillance (entrances) o Check in and out parents for IEP's meeting with admin. o Safety/ fire drill folders, classroom maps, routes, emergency drill and procedures. (Coordinates with safety director Jasso for updates to procedures.) o Assist coaches/ sponsors with student excuses for school activities. o Coordinates with test coordinator for modified schedules, communicates with Sarah Krowl. o Other duties as assigned. Qualifications: o High school diploma or GED certificate. Must have clerical and typing test on file with passing scores. *The supervisor has the authority to waive any of the above requirements and allow the applicant a 30-day trial period of employment. EDUCATION AND EXPERIENCE: High school diploma or general education degree (GED); one-year related experience in a school office preferred. Bilingual strongly preferred. LANGUAGE SKILLS: o Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. o Ability to write routine reports and correspondence. o Ability to speak effectively before groups of people. MATHEMATICAL SKILLS: o Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. o Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. REASONING ABILITY: o Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. o Ability to deal with problems involving several concrete variables in standardized situations. CERTIFICATES, LICENSES, REGISTRATIONS: o Must possess a valid New Mexico driver's license.
