Your role For one of our most prestigious clients in Brussels , we are looking for an Office & Reception Collaborator to take on a key hospitality and coordination role within the site. You will work in an international and highly professional environment, welcoming and supporting a community that includes diplomatic members and high-level visitors . This position goes beyond traditional reception duties. You will become a central point of contact for the floor, ensuring that daily operations run smoothly, events are properly coordinated and every visitor and member receives a consistently high level of hospitality. The position represents 37 hours of work per week . Your mission Your first objective will be to develop an excellent understanding of the entire floor, its organisation, its community and its operating protocols . As the position involves regular interaction with diplomatic members and visitors, professionalism, discretion and respect for established protocols are essential. Together with your colleague on the floor, you will ensure the smooth coordination of daily activities and maintain a welcoming, organised and professional environment. Your main responsibilities Welcome members, visitors and guests in a warm and professional manner Learn and follow the specific protocols and procedures applicable to the floor Coordinate and organise events, meetings and activities taking place on the floor Prepare and monitor meeting rooms and shared spaces Ensure that coffee machines and hospitality areas are operational, clean and properly supplied Coordinate daily operational and hospitality requirements Work closely with your floor colleague to ensure continuity and an effective distribution of responsibilities Anticipate needs and respond proactively to requests from members and visitors Coordinate with internal teams, suppliers and relevant service providers when required Follow up on existing community services, including access-related services, dry cleaning and other concierge services Support administrative tasks and maintain clear operational follow-up Contribute actively to creating a genuine sense of hospitality and community throughout the floor Working schedule This is a 37-hour-per-week position . A standard working schedule will be established. However, flexibility is an important part of the role, as working hours may occasionally be adapted according to the client's needs, scheduled events and the level of activity on the floor. We are therefore looking for someone who is comfortable working within a structured schedule while remaining flexible when operational needs require it. Your profile For this position, we are looking for someone who combines excellent hospitality skills with strong organisational abilities. You: Have a strong sense of hospitality and genuinely enjoy working with people Are highly organised, structured and able to manage several priorities Have good working knowledge of Microsoft Office Communicate professionally and confidently with different types of guests and stakeholders Understand the importance of discretion, confidentiality and professional conduct Are comfortable working in an international and diplomatic environment Are proactive and capable of identifying what needs to be done without always waiting for instructions Enjoy working as part of a two-person team while also being capable of working independently Are physically comfortable moving regularly throughout the floor during the working day Are flexible regarding working hours when events or operational requirements require adjustments Are eligible to meet the client's applicable security and background requirements Are available to start as soon as possible Languages As you will be working in an international environment, strong language skills are essential: English is mandatory Fluency in at least one of Belgium's national languages - French, Dutch or German - is mandatory Knowledge of additional languages is highly appreciated and considered an asset Previous experience in corporate reception, hospitality, front office, office support, events or workplace services is a strong asset. What we offer We offer a fixed-term contract (CDD) of 37 hours per week , with the perspective of developing into a permanent contract (CDI) .
