Job Summary
Manages the procurement of goods and services for the organization. This includes sourcing, negotiating, and purchasing medical supplies, equipment, and services while ensuring compliance with healthcare regulations and maintaining cost effectiveness. Works closely with various departments, such as clinical staff, finance, and operations to understand their needs and ensure procurement practices align with organizational goals.
Essential Functions
- Serves as the central point of contact for assigned areas of responsibility.
- Reviews requests for purchase orders routed to the Material Management Department, and ensures completeness, contract compliance, and conformity to policy and procedures.
- Enters manual or hardcopy order requests into appropriate MMIS (Materials Management Information System) applications to create purchase orders.
- Processes electronic requisitions or inventory control recommended reorders to create purchase orders.
- Communicates with vendors regarding the procurement of supplies, equipment and service contracts in accordance with customer policies and procedures, ensuring accuracy of product, price, and delivery terms.
- Moves orders to appropriate contracted suppliers when conversions to new products have been approved by the VAST team and department users.
- Routes orders accordingly for medical supplies, expedite open orders, facilitates product substitutions on back ordered products and verifies pricing against contractual agreements.
- Responds to end-user requests and confirmation of emergency orders.
- Assists other departments or client's departments with opportunities to improve product content and cross referencing.
- Works with suppliers to coordinate site preparation required for equipment installation including, but not limited to scheduling delivery around electrical, biomedical or other utility requirements for equipment installation.
- Resolving product quality issues.
- Troubleshooting identified problems and working with supplier(s) to resolve.
- Investigates and resolves pricing and back order issues utilizing available EDI tools.
- Coordinates processing of equipment repairs and obtaining loaner equipment as needed, or requested.
Other Duties
- Participates in departmental and association wide informational meetings and in-services, including staff meetings, association wide forums, and seminars.
- Reviews department and association wide policies and procedures annually.

Physical Demands
Exerts up to 20 lbs. of force occasionally, and/or up to 10 lbs. of force frequently, and/or a negligible amount of force constantly to move objects. Physical demands are in excess of those of Sedentary work. Light work usually requires walking or standing to a significant degree. Worker is exposed to extensive computer work.
Required Education and Experience
- High School Diploma or Equivalent.
- Must have 1-2 years' experience as an OR Coordinator, specialized area inventory coordinator, or equivalent applicable experience/education.

Involves no regular exposure to blood, body fluids, or tissues, and tasks that involve exposure to blood, body fluids, or tissues and are not a condition of employment.
