Market Range: 06 JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: Under the direction of the Chief of Police, the Administrative Coordinator acts as the administrative services officer in Campus Police. This position performs a wide range of duties that require confidentiality, discretion, tact, diplomacy, sound judgment, analytical and decision-making skills. Duties include, but are not limited to, comprehensive, high-level administrative support to UT Health Sciences Chief of Police and others as needed. This position also performs management of projects of a highly political, confidential, and sensitive nature that require organizational analysis and short and long-term planning.
• Provides the highest level of administrative support to the Chief of Police for a wide range of projects and assignments, including complex problem-solving of a confidential and sensitive nature. • Serves as primary contact between the Chief of Police, Sergeants, Lieutenants, Dispatchers, Police and Security officers. • Establishes daily priorities, including approving meetings with individuals involving key strategic priorities of the University. • Gathers meeting documents and data, and composes concise executive summaries, with attention to detail. • Reconciles the ledger, procurement card, and telephone bills, as well as completes the annual review of inventory and space, Campus Police. • Resolves accounting issues such as billing disputes or collections by researching the problem, recommending a course of action, and ensuring the issue is resolved. • Ensures monthly reconciliation of the department’s financial records is performed with the Department Ledger Report; reviews the reconciliation each month and approves. • Performs other related duties as assigned.
MINIMUM REQUIREMENTS: EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED) EXPERIENCE: Four (4) years of professional, administrative/financial work experience in an office setting; OR Bachelor’s Degree in lieu of experience; OR a combination of related education and work experience to equal four (4) years. KNOWLEDGE, SKILLS, AND ABILITIES:
• Knowledge of a range of automated financial systems and applications software. • Knowledge of Federal and State financial regulations. • Knowledge of the principles, processes, and standards for integrated financial analysis and reporting as related to a public institution. • Knowledge of laws and regulations associated with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act. • Basic knowledge of applicable laws and regulations regarding student and employee policies and records regarding Clery. • Ability to provide technical guidance and leadership to professional personnel in area of expertise. • Ability to plan, implement, and administer financial and administrative information and control systems. • Ability to compile, analyze, interpret, and present complex annual financial reports, statements, and/or projections. • Skill in examining operations and procedures, formulating policy, and developing and implementing new strategies and procedures. WORK SCHEDULE: This position may occasionally be required to work evenings and weekends. May require occasional overnight travel.
