Job Title: Sales Operations Process SpecialistJob DescriptionThe Sales Operations Process Specialist is a temporary role responsible for developing, documenting, and standardizing the processes, procedures, and operational documentation that support the Transit Sales department. This position creates Standard Operating Procedures (SOPs), workflow diagrams, process maps, work instructions, templates, and training materials that establish consistency, improve efficiency, and support the continued growth of the Sales organization. Working under the direction of Sales Operations leadership and in close collaboration with cross-functional teams, this role builds and maintains the operational framework that enables the Sales team to execute work efficiently, consistently, and at scale, culminating in a comprehensive Sales Operations Playbook that serves as the departments central operating guide.Responsibilities

• Develop, document, and maintain Standard Operating Procedures (SOPs) for Sales Operations processes across the Transit Sales department. • Create detailed process maps, workflow diagrams, swim lane charts, and other visual documentation to clearly illustrate departmental workflows and handoffs. • Analyze current Sales Operations processes and cross-functional workflows to identify opportunities for standardization, improved efficiency, and scalability. • Document current-state and future-state workflows for sales, quoting, bidding, contract administration, program management, document control, and related business functions. • Collaborate with department leaders and cross-functional stakeholders in Engineering, Finance, Purchasing, Production, Warranty, Marketing, Legal, IT, and Sales to validate and implement standardized processes. • Ensure all process documentation is organized, version-controlled, and easily accessible to the Sales Operations team and relevant stakeholders. • Develop work instructions, templates, checklists, and supporting documentation that improve consistency and clarity in daily operations. • Develop and maintain the Sales Operations Playbook, consolidating SOPs, workflows, best practices, templates, work instructions, roles and responsibilities, process documentation, and training materials into a centralized resource. • Support change management initiatives related to new processes and organizational improvements, helping teams adopt and sustain updated workflows. • Assist with the development of departmental training materials and onboarding documentation for new and existing team members. • Recommend process improvements that enhance the efficiency, effectiveness, and scalability of the Sales Operations department and related functions. • Gather information and tribal knowledge from subject matter experts, including bid analysts, program managers, and regional sales managers, and translate it into clear, standardized systems and processes. • Maintain confidentiality of proprietary company information and customer data at all times. • Communicate clearly and professionally with cross-functional departments to ensure alignment and understanding of new processes and documentation. • Contribute to building a structured, documented operational environment in a setting that currently relies heavily on informal, word-of-mouth knowledge sharing. Essential Skills

• Bachelors degree in Business Administration, Operations Management, Industrial Engineering, Supply Chain, or a related field is highly preferred, and may be required for potential direct hire conversion. • At least 3 years of experience in business process improvement, operations, project coordination, business analysis, technical documentation, or a closely related field. • Strong understanding of business process documentation and workflow development, including current-state and future-state analysis. • Proven experience creating Standard Operating Procedures (SOPs), work instructions, and process documentation. • Demonstrated ability to create SOPs, workflow diagrams, and process maps using tools such as Microsoft Visio, Lucidchart, or similar process mapping software. • Proficiency with Microsoft Office Suite, including strong skills in Microsoft Excel with the ability to perform vlookups and create pivot tables. • Excellent organizational skills with exceptional attention to detail, ensuring documentation is accurate, consistent, and well-structured. • Strong written communication skills with the ability to clearly document complex business processes and translate technical concepts into user-friendly materials. • Ability to gather information from multiple stakeholders and subject matter experts and convert it into clear, standardized documentation and workflows. • Experience working in or with manufacturing industry environments and familiarity with manufacturing-related processes. • Experience with ERP systems and understanding of how ERP data and workflows support Sales Operations. • Ability to work cross-functionally with departments such as Finance, IT, Engineering, Sales, and others, demonstrating strong interpersonal and communication skills. Additional Skills & Qualifications

• Experience with continuous improvement methodologies such as Lean, Six Sigma, or similar frameworks is preferred. • Training development and the creation of training materials and documentation for process adoption and onboarding. • Experience in sales operations or sales operations creation, including reporting and process improvement initiatives. • Ability to support change management efforts and help teams transition from informal, tribal knowledge to formalized, documented processes. • Comfort working in a newly established role where processes are still being defined, with a focused yet flexible approach. • Collaborative mindset and willingness to partner closely with sales leadership and sales coordinators to ensure project success. • Professional demeanor with the ability to influence without dominating, working as a team player rather than operating independently without input. • Strong problem-solving skills and the ability to identify gaps in existing workflows and propose practical, scalable solutions. Work EnvironmentThis is a temporary role expected to last at least three months, with a strong possibility of extension as additional departments undertake similar process documentation projects. For the right person who makes a significant impact, there may be an opportunity to convert to a direct, long-term role, as the function is viewed as potentially valuable on a national level. Standard working hours are approximately 8:00 a.m. to 4:30 p.m. The position operates within a manufacturing environment focused on medium- and heavy-duty transit buses used by public transit agencies, universities, airports, shuttle operators, and municipal and government transportation organizations. The role reports into Sales Operations leadership and works very closely with sales management and sales coordination staff, while also engaging cross-functionally with Finance, IT, Engineering, Production, Warranty, Marketing, Legal, and other departments. The environment is collaborative and dynamic, with an emphasis on clear communication, flexibility, and a willingness to build structure where little formal documentation currently exists. Dress code and day-to-day attire align with a professional office setting within a manufacturing organization, and the role involves primarily office-based work using standard business software, process mapping tools, and ERP systems. Job Type & LocationThis is a Contract position based out of Riverside, CA. Pay and BenefitsThe pay range for this position is $45.00 - $52.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
