Role Description: We are looking for an experienced, polished and highly organised Executive Assistant to join our Zurich office and provide high-level support to our Equities team. This is a visible, hands-on role and an important first point of contact for internal and external stakeholders, including brokers, clients and visitors. You will work closely with portfolio managers and team members, take ownership of day-to-day coordination, anticipate needs and keep priorities moving in a fast-paced investment environment. Alongside the core Equities support, the role will also provide practical support to Zurich Office Management and help ensure smooth day-to-day office operations when required. The role will suit someone who enjoys responsibility, uses sound judgement and takes pride in delivering consistently high-quality support. Main Responsibilities: • Act as a trusted first point of contact for internal and external stakeholders, managing communication professionally and ensuring requests are prioritised and followed through • Own complex calendar management for portfolio managers and team members, proactively resolving conflicts and ensuring efficient use of time • Coordinate internal and external meetings, including agendas, materials, logistics and follow-up actions, ensuring teams are fully prepared • Track, log and validate corporate access activity and broker interactions, maintaining accurate records and ensuring timely follow-up • Arrange complex domestic and international travel, including detailed itineraries and confident handling of last-minute changes • Prepare, submit and reconcile expense reports accurately and on time for portfolio managers and team members • Coordinate guest management and hospitality, including welcoming visitors, meeting room preparation and catering, ensuring a consistently professional client and visitor experience • Provide ad hoc support to Zurich Office Management, including cover for day-to-day office coordination and operational tasks, helping to ensure continuity and a well-run office when required
Essential Skills: • 7+ years of relevant Executive Assistant experience, ideally supporting senior executives, investment professionals or portfolio managers within financial services, asset management, investment banking or another fast-paced professional environment • A strong track record of managing complex diaries, international travel and multiple competing priorities with a high degree of accuracy • Experience acting as a professional first point of contact and building trusted relationships with senior internal and external stakeholders • Excellent written and verbal communication skills, with a polished and professional correspondence style • Highly proactive and self-directed, with the ability to anticipate needs, use sound judgement and take ownership through to completion • Exceptional organisational skills and meticulous attention to detail, particularly when priorities change at short notice • Discreet and trustworthy, with confidence handling sensitive and confidential information • Collaborative and adaptable, equally comfortable working independently and as part of a close-knit team • Strong Microsoft Office skills (Outlook, Word, PowerPoint and Excel) and confidence using modern productivity tools, including AI tools where appropriate Office: This role will be onsite, in our Zurich Office.
