An exciting opportunity has arisen for an experienced administrator to join the People and Workforce Team at George Eliot Hospital NHS Trust on a 12-month fixed-term basis to provide maternity leave cover.
We are looking for a motivated and highly organised individual with previous experience working within a Human Resources related function, such as HR, recruitment or medical staffing. This is a fast-paced role supporting a busy People and Workforce service and would suit someone who is confident managing multiple priorities, dealing with confidential information and providing excellent customer service.
Main duties of the job
As a People and Workforce Assistant, you will play a key role in supporting managers and employees across the Trust by providing high-quality administrative and first-line advisory support across a range of People and Workforce activities.
The successful candidate will:
Provide an efficient first-line People and Workforce support service, responding to enquiries received by telephone, email and face-to-face. Support a range of People and Workforce processes, ensuring accurate and timely administration. Assist with employee relations processes, including arranging meetings, preparing documentation and taking notes during investigations, hearings and appeals. Support recruitment and workforce administration processes using electronic systems including ESR and Trac. Produce reports and provide administrative support for People and Workforce projects and initiatives. Maintain accurate records and electronic filing systems, ensuring confidentiality is maintained at all times. Support managers and People and Workforce colleagues by providing information, reports and administrative assistance as required. Contribute to the continuous improvement of People and Workforce systems, processes and procedures.

The People and Workforce Assistant provides comprehensive administrative support to People and Workforce and contributes to the delivery of a professional, efficient and customer-focused People service across the Trust. The post holder will act as a first point of contact for People and Workforce enquiries and support managers and employees by providing timely advice, guidance and administrative assistance.
Applicants must be able to demonstrate previous administrative experience within a Human Resources related function and have experience of providing first-line advice in response to queries. Excellent organisational skills, strong communication skills and the ability to handle confidential and sensitive information with professionalism are essential. Experience of ESR and workforce information would be advantageous.
Key duties and responsibilities include:
Providing first-line support using People and Workforce systems, Trust documents and Agenda for Change guidance. Acting as the first point of contact for People and Workforce queries received through a variety of channels. Supporting employee relations activities, including arranging meetings, preparing documents and taking formal notes at investigation meetings, hearings and appeals. Managing People and Workforce inboxes and ensuring enquiries are responded to or escalated appropriately. Supporting recruitment and workforce administration processes, including data input, data quality and maintaining staff records. Producing reports and management information from People and Workforce systems. Assisting with People and Workforce projects, training events and departmental initiatives. Maintaining accurate electronic and manual filing systems and ensuring all correspondence and documentation is produced to a high standard. Supporting responses to Subject Access and Freedom of Information requests as required. Providing administrative support to colleagues across the wider People and Workforce function and undertaking other duties commensurate with the grade of the post. Person Specification
Essential & Desirable Essential
Administrative experience within a Human Resources (HR) related function, such as a generalist HR service, recruitment, medical staffing, workforce, employee relations, or other HR operational environment. To include: ousing e-recruitment solutions e.g. Trac, NHS Jobs; oproviding first line advice in response to queries Knowledge of HR systems and procedures, e.g. terms & conditions, recruitment, absence control, acquired through NVQ level 3 or equivalent experience. NVQ Level 3 in Business Administration or equivalent qualification or experience. GCSE (or equivalent) in Maths and English (Grades A-C) Microsoft Office skills including Word, Excel, Outlook, Databases and Power Point. Ability to learn and use multiple IT systems accurately and efficiently Good organisational skills, able to work independently using initiative within agreed procedures Ability to build positive working relationships with colleagues and managers. Ability to use appropriate judgement to seek and clarify detail where appropriate, resolving queries and/or escalating when necessary to senior colleagues. Attention to detail. Ability to handle difficult situations with tact and sensitivity. Excellent communication skills both written and verbal. Ability to analyse data and present summary information in a clear and concise format. Ability to show tact and objectivity in dealing with confidential and sensitive information. Willingness to undertake relevant learning/training as required. Customer focused with a 'can do' attitude. Willingness to contribute to team efficiency through sharing information and constructively supporting others Ensure high levels of confidentiality and communication are maintained.
