Job summary
The Red Practice is looking for an experienced Medical Secretary to join our busy and supportive General Practice team on a full-time basis.
This is a varied role combining the core responsibilities of an experienced GP Medical Secretary with additional administrative duties supporting QOF, patient recalls, clinical registers and practice performance.
Previous medical secretarial experience within General Practice is essential.
Proficient in EMIS
We are specifically looking for someone who already has the knowledge and practical experience required to undertake General Practice medical secretarial duties. The successful candidate will receive a full handover and induction into our practice processes, but applicants should already be confident in the fundamental responsibilities of a GP Medical Secretary.
The additional administrative aspects of the role include working with QOF, Ardens Manager and AccuRx, maintaining patient registers and coordinating patient invitations, recalls and follow-up
Main duties of the job
The successful candidate will provide a comprehensive medical secretarial service to the GPs and wider clinical team.
Responsibilities will include processing and monitoring referrals; preparing clinical correspondence, referral letters and reports; liaising with hospitals, community services, patients and other healthcare organisations; and ensuring outstanding referral and secretarial actions are appropriately followed up.
Alongside the medical secretarial responsibilities, the postholder will undertake administrative work supporting:
QOF searches, recalls and follow-up activity Ardens Manager AccuRx patient communications and invitations Management and maintenance of clinical/disease registers Identification of patients requiring reviews or follow-up Patient recall and invitation programmes Follow-up of patients who have not responded to invitations Data quality and accurate coding Wider practice administrative and service-improvement work

The postholder will:
Provide a comprehensive and efficient medical secretarial service to the practice.Process referrals accurately and efficiently using the appropriate NHS referral systems and pathways.Prepare and manage clinical correspondence, referral letters, reports and associated documentation.Monitor referrals and outstanding actions, escalating concerns appropriately and supporting continuity of patient care.Liaise professionally with patients, secondary care, community services and other healthcare organisations.Manage incoming and outgoing correspondence and ensure information is recorded accurately within the patient record.Support QOF-related administrative work including searches, registers, recalls and patient follow-up.Use Ardens Manager to support population health, contractual and performance-related administrative work.Use AccuRx to coordinate patient communications, invitations, recalls, questionnaires and follow-up.Maintain and review clinical and disease registers and identify patients requiring monitoring, reviews or other action.Coordinate patient invitation and recall programmes and follow up non-responders as required.Support good data quality and accurate coding within the clinical system.Assist with wider practice administration and service-improvement work appropriate to the role.Maintain confidentiality and comply with practice policies relating to information governance, data protection and patient confidentiality.Undertake other appropriate duties consistent with the nature and level of the post.
Person Specification
Qualifications Essential
Previous experience working as a Medical Secretary within UK General Practice. This part of the role will consist of 30hour support over 5 days and you will be required to know all of the below essential pathways and this aspect of the role will be considered a handover from the present secretary Experience using EMIS Web or a comparable GP clinical system. Good knowledge and practical experience of GP referrals, clinical correspondence and medical secretarial processes. Provide a comprehensive and efficient medical secretarial service to the practice. Process referrals accurately and efficiently using the appropriate NHS referral systems and pathways. Prepare and manage clinical correspondence, referral letters, reports and associated documentation. Monitor referrals and outstanding actions, escalating concerns appropriately and supporting continuity of patient care. Liaise professionally with patients, secondary care, community services and other healthcare organisations. Manage incoming and outgoing correspondence and ensure information is recorded accurately within the patient record. Understanding of confidentiality and information governance within General Practice. Strong IT skills and confidence using GP clinical and administrative systems. Excellent written English, communication and organisational skills. High level of accuracy and attention to detail. Ability to prioritise and manage a busy and varied workload. Ability to work independently while contributing positively to the wider practice team. Professional and compassionate approach when communicating with patients.
Desirable
This aspect of the role will consist of around 7hours per week and will entail training (where required) by the Practice Manager Experience of QOF administration, patient recalls and management of disease registers. Experience using Ardens Manager. Experience using AccuRx, particularly patient messaging, questionnaires, invitations and recalls. Experience of searches, coding and data-quality work within General Practice.
