Position: Human Resources Specialist

Position Summary
The HR Specialist provides essential administrative support to the HR team across day-to-day operations and strategic initiatives. The role also oversees the visa and immigration process for the school and administration of employee benefit programs.

Visa and Onboarding
• Coordinate all visa and immigration processes, ensuring compliance with Japanese immigration laws.
• Provide guidance and support to employees on visa renewals, residence permits, and work authorization.
• Support the successful onboarding of new hires through proactive communication, ensuring a smooth transition into their roles and the school community.
• Participate in the orientation and induction programs for new faculty and staff.
Benefits Administration
• Coordinate the administration of employee benefit programs, including health insurance, retirement pensions, and other applicable benefits.
• Assist in coordinating the faculty home-leave benefit (annual flight allowance) and commutation allowance.
• Support tracking employee leave records and processing related benefit claims.
• Facilitate the processing of workers’ compensation and other insurance-related claims.
HR Support
• Ensure employee records are accurately maintained and kept up to date in BambooHR.
• Assist the Director of HR with recruitment activities and background screenings.
• Support the logistics for the annual faculty/staff events.
• Support the offboarding process for departing faculty and staff.
• Help communicate and implement HR policies and procedures.
• Assist the team with HR reporting, compliance audits, and special projects.
• Perform other duties as delegated by the Director of HR.

Required Qualifications & Skills
• Minimum 3 years of experience in HR, customer service, hospitality, service industries, or a related administrative role.
• Experience assisting with or resolving employee and customer inquiries and issues.
• Experience working in a school or educational setting is preferred.
• Demonstrated ability to manage project timelines, handle complex logistics, and work independently with strong organizational skills.
• Proficient in English and Japanese, both written and spoken
• Strong written and interpersonal communication skills for coordinating effectively across diverse teams.
