Job summary
This is an exciting opportunity to join our dedicated team of Band 2 Receptionist/Clerical Officers atPeterborough City Hospital. Working within the fast-paced Emergency Department (ED) and Ambulatory Care areas, you will play a vital role in supporting both clinical and administrative teams to deliver high-quality patient care.
As a key member of the reception and administration service, you will undertake a wide range of clerical duties, including:
Booking in patients on arrival to the department
Maintaining accurate and confidential patient records
Filing and general document management
Arranging clinic appointments
Handling telephone enquiries in a professional and timely manner
Entering data onto hospital computer systems
Supporting the ED administration team with basic office tasks as required

Main duties of the job
The post holder will play an essential role in ensuring the smooth running of all administrative, clerical, and computer-based processes within the Emergency Department. You will contribute to the delivery of high-quality patient care by providing clear, effective communication and reliable administrative support to both patients and staff.
Working as part of the reception team in a busy, fast-paced environment, your responsibilities will include:
Supporting the reception and booking-in process for patients arriving to the Emergency Department
Accurately entering and updating patient information on the hospital's Patient Administration System
Assisting with the admission of patients to wards and maintaining up-to-date patient records
Managing telephone enquiries and directing calls appropriately
Providing general clerical support such as filing, scanning, and document handling
Arranging clinic appointments and ensuring relevant documentation is completed
Liaising with clinical and administrative colleagues to support efficient patient flow
Undertaking basic office duties to assist the wider ED administration team
Ensuring confidentiality and professionalism are maintained at all times

Person Specification
Education and Qualifications Essential
Numerate and literate, with Maths and English to GCSE
Desirable
IT qualification NVQ level 2/3
Experience Essential
Comprehensive working knowledge of Microsoft Office, especially Outlook Customer service experience
Desirable
Previous experience in an acute or emergency health care clerical environment
Knowledge Essential
Good organisational and communication skills. Good working knowledge of Microsoft office Proven customer service skills
Key Skills Essential
Good written and verbal communication skills sufficient to be able to effectively communicate with patients, the multi-disciplinary team and external agencies
