About this role

Job summary

An exciting opportunity has arisen for a Team Administrator to join the Mental Health Support Teams in Schools (Reflexions).

The post holder will be based at the Ridge Hill Centre, Dudley, with a hybrid working arrangement that includes home working and attendance at the base as required.

The post holder will be required to travel across the Black Country as part of their role to attend Development Days and Face to Face meetings.

Main duties of the job

We are seeking an experienced and enthusiastic Team Administrator with proven administrative skills to join the Reflexions Service.

As part of this busy team, you will provide an efficient, effective, professional, and confidential administrative and secretarial service to a team of clinicians. Responsibilities will include diary management, booking appointments, and maintaining both paper and electronic records in accordance with Trust policies.

The role is demanding and varied, requiring excellent administrative skills, confidence, initiative, and the ability to work autonomously. Applicants should be competent audio typists and have a good working knowledge of Microsoft Office. The successful candidate will be expected to think on their feet, adapt to changing priorities, and provide flexible administrative cover during periods of annual leave and sickness absence to ensure continuity of service delivery.

Person Specification

Qualifications Essential

RSA II/OCR or other computing qualification or equivalent experience GCSE English Grade C or above or equivalent qualification

Desirable

NVQ3 in Business Administration or equivalent qualification

Skills Essential

Excellent communication and interpersonal skills when dealing as first point of contact with all levels of staff in person, on the telephone and in written correspondence Effective handling of highly confidential information ensuring high level of discretion at all times Excellent planning and organising skills Ability to be adaptive and flexible in response to additional workload Able to work to tight deadlines whilst ensuring work is of a high standard Ability to work in a pressurised environment Excellent word processing skills including accurate and speedy typing and audio typing Ability to work on own initiative

Experience Essential

Experience of providing administration support to a team of staff including senior managers or dedicated support to a senior member of staff Experience of co-ordinating complex meetings involving staff from other departments/organisations Experience of maintaining information systems e.g. databases Demonstrable commitment and understanding of the importance of maintaining confidentiality at all times Demonstrable commitment to equality and diversity e.g. awareness of potential considerations when booking venues and inviting delegates to meetings
