About this role

Job summary

You will provide a comprehensive administrative service to support the Neighbourhood Team. We are a multidisciplinary service consisting of Community Nurses, Physiotherapists, Occupational Therapists and Advanced Nurse Practitioners, providing care and support to patients with health needs in their own homes across the local community.

This is a busy and varied role requiring a flexible, organised and motivated individual who can work effectively both independently and as part of a team. The successful candidate will demonstrate a calm and professional approach, excellent communication and interpersonal skills, and the ability to prioritise a varied workload while maintaining high standards of service delivery.

The role requires a good working knowledge of Microsoft Office, an understanding of confidentiality, the Data Protection Act and NHS Code of Conduct. The post holder will liaise with patients, families, GPs,external agencies and other healthcare professionals, ensuring enquiries are managed efficiently and appropriately.

The post is part time, working 24 hours per week across a seven-day service, including Monday to Friday working, rotational weekend cover and late shifts (10am-6pm).

Main duties of the job

The successful candidate will be a highly organised, adaptable team player with excellent problem-solving skills and the ability to manage a varied workload.

You will provide essential administrative support to Community Nursing, Physiotherapy and Occupational Therapy teams, including telephone duties, monitoring inboxes, maintaining records and liaising with patients, carers, families and healthcare professionals.

This role requires a positive "can do" attitude, flexibility and the ability to prioritise tasks, meet deadlines and deliver excellent customer service in a fast-paced environment.

We are seeking an organised, compassionate, and proactive individual to join our team. The successful candidate will need to have excellent written and verbal communication skills, along with strong organisational abilities, enabling them to effectively liaise with a wide range of professionals, patients, and their families.

Ideally, candidates will have NHS experience, including direct patient contact and experience of providing appropriate support and signposting to services. The post holder will need to demonstrate initiative, a practical approach to problem-solving, and the ability to work effectively as part of a multidisciplinary team.

Applicants should be confident using IT systems, with experience of databases and Microsoft Office applications. Accuracy, attention to detail, and the ability to manage a varied workload are essential.

The role involves regular contact with patients and family members who may be experiencing distress or emotional difficulties. A calm, professional, and empathetic telephone manner is essential. Full training and ongoing support will be provided to help the successful candidate develop within the role.

The post holder will play a vital role within the team, supporting clinical staff by maintaining accurate patient records, managing administrative processes and providing a Single Point of Access telephone service for patients, relatives, carers and healthcare professionals.

Person Specification

Qualifications Essential

Educated to academic Level 3 (e.g.: A-Level, NVQ3, OCR/RSA3, City and Guilds 3) in a Business/ Administration related subject Or Educated to academic Level 2 (e.g. GCSE Grade A-C) with considerable recent NHS administrative experience and will be expected to undertake the relevant level 3 qualification on appointment to post

Experience Essential

Recent, relevant Administrative/Secretarial experience (usually demonstrated by a minimum of 2 years' experience)

Skills & Abilities Essential

General office skills. Ability to communicate effectively and clearly in both written and verbal formats. Ability to prioritise a busy workload effectively and be able to work to strict deadlines.
