Position OverviewThe Operations & Administrative Coordinator will provide administrative and production support for a busy onsite operation. This person will handle a combination of vehicle/job tracking, invoicing, employee documentation, accounting support, shipments, office administration, and coordination with production leadership. This position will work closely with production leadership, administrative staff, HR, and accounting while helping manage documentation, invoicing, employee records, vehicle/job information, shipping paperwork, and general office activities. The position is ideal for someone who is highly organized, detail-oriented, comfortable working within different systems, and capable of balancing several responsibilities throughout the day.Key ResponsibilitiesOperations & Production Support
• Import jobs into the vehicle management system • Enter and update job information within internal systems • Check vehicles in and out of management systems • Organize and maintain work orders and delivery receipts • Scan, upload, and distribute vehicle transportation correspondence • Print and prepare work orders for operational teams • Monitor vehicle aging reports • Assist the Production Supervisor with various administrative needs • Coordinate building-related needs with production and administrative leadership • Assist with vehicle invoicing Required Qualifications
• High school diploma or equivalent • Previous administrative or office support experience • Strong organizational and multitasking abilities • Strong attention to detail and accuracy • Proficiency with Microsoft Office • Proficiency with Microsoft Excel • Data-entry/10-key capabilities • Ability to learn new processes and systems quickly • Dependable and able to work independently Preferred Qualifications
• 3-5+ years of administrative, operations, or production support experience • Previous experience within manufacturing, automotive, logistics, transportation, warehousing, or a similar operational environment • Experience handling invoices, billing, receipts, or accounting-related documentation • Experience with an ERP, vehicle management, order management, or similar business system • Nav/ERP experience is preferred in the original job description Job Type & LocationThis is a Contract to Hire position based out of Livonia, MI. Pay and BenefitsThe pay range for this position is $22.00 - $24.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
