Oshkosh AeroTech is seeking a detail-oriented, proactive Site Administrative Coordinator to support our airport maintenance operations at George Bush Intercontinental Airport (IAH) in Houston, Texas.

In this role, you'll be a key partner to site leadership, combining administrative coordination, financial reporting, payroll support, and employee assistance to help keep our operation running efficiently.

What You'll Do As the Site Administrative Coordinator, you'll serve as an important resource for the Site Manager and operations team, helping ensure financial accuracy, organized processes, and efficient daily operations.

Financial Reporting & Administrative Accounting

• Track expenses, reconcile financial records, and assist with billing and month-end reporting. • Prepare and maintain accurate financial and operational reports. • Review financial information, identify discrepancies, and coordinate necessary corrections. • Support purchasing activities, invoice documentation, and vendor coordination. Excel Reporting & Data Management

• Use Microsoft Excel to organize, analyze, and reconcile financial and operational data. • Develop and maintain spreadsheets, reports, and tracking tools to support business decisions. • Utilize formulas, pivot tables, sorting, filtering, and other Excel functions to ensure reporting accuracy. • Identify trends, discrepancies, and opportunities to improve reporting processes. Payroll, Timekeeping & Employee Support

• Review employee timecards, attendance records, and leave balances for accuracy. • Identify payroll discrepancies and coordinate corrections as needed. • Assist with employee onboarding, training coordination, and airport badging requirements. • Serve as a resource for employees regarding routine administrative processes and documentation. Office & Operations Coordination

• Coordinate daily administrative activities and maintain organized, accurate records. • Support work order tracking, documentation, and operational reporting. • Assist with purchasing, office supplies, and communication with vendors. • Communicate effectively with site leadership, employees, customers, and business partners. • Identify opportunities to streamline administrative processes and improve operational efficiency. • Support company safety policies, training requirements, and compliance procedures.

What You'll Bring We're seeking a dependable, highly organized professional who combines strong financial and administrative skills with a proactive, solutions-oriented approach.

Minimum Qualifications

• High school diploma or GED equivalent. • 3-5 years of office experience involving accounting, payroll, bookkeeping, financial reporting, or related administrative responsibilities. • Strong Microsoft Excel proficiency, including formulas, pivot tables, sorting, filtering, data analysis, and financial or operational reporting. • Proficiency in Microsoft Word and other standard office applications. • Experience maintaining accurate records, reconciling information, and preparing reports. • Excellent organizational, time-management, and problem-solving skills. • Strong attention to detail, particularly when working with financial and payroll information. • Ability to manage competing priorities, meet deadlines, and work independently. • Effective written and verbal communication skills. • Ability to handle confidential employee and business information with professionalism and discretion. • Valid driver's license. • Ability to obtain and maintain required airport security credentials.

Preferred Qualifications

• Experience in accounting support, expense reconciliation, billing, or financial reporting. • Experience supporting maintenance, facilities, operations, or service-based businesses. • Familiarity with computerized maintenance management systems (CMMS) or work order tracking software. • Previous experience in airport operations or a customer-focused operational environment. • Experience improving administrative workflows, reporting tools, or business processes. Airport industry experience is a plus, but not required. We welcome candidates from other industries who bring strong financial, administrative, and analytical skills.

Work Schedule & Environment This position primarily follows a Monday–Friday daytime schedule, offering a consistent workweek. Occasional additional hours may be required to support business needs, particularly during month-end financial closeout, billing, reporting, and reconciliation activities. The position is primarily office-based at George Bush Intercontinental Airport (IAH), supporting an active airport maintenance operation. Occasional visits to operational areas may be required, with potential exposure to outdoor weather conditions, moving equipment, airport vehicles, and aircraft. All applicable safety and security procedures must be followed. Pay Range: $42,100.00 - $64,500.00

The above pay range reflects the minimum and maximum target pay for the position across all U.S. locations. Within this range, individual pay is determined by various factors, including the scope and responsibilities of the role, the candidate's experience, education and skills, as well as the equity of pay among team members in similar positions.
