Reports to: Principal/Head of School (or designee) with support of BPS Office of Specialized Services (OSS) Boston Green Academy is BPS Horace Mann ‘in-district' charter school: School hours are 8am - 3pm, Monday-Friday School Secretary hours: 7:15am to 3:15pm (8 hours/day) at 20 Warren St. Brighton, MA 02135 General Description: Under the general supervision of the Principal/Head of School (or designee) with support from the BPS Office of Specialized Services (OSS), serves as secretary for the school's special education office (.6 FTE) and main office (.4 FTE); performs complex clerical and office work requiring exercise of independent judgment. Responsible for supporting BPS Central O?ces and BGA Special Education staff in their adherence to the regulatory requirements associated with Special Education laws and regulations. Uses appropriate current technology to carry out duties. Responsibilities: When supporting the BGA Special Education Office:
• Ability to use current technology to support the Special Education Team process by: Organizing, maintaining, tracking, copying & transferring of student recordswhen necessary. Limited Data entry and retrieval of information from SEIMS system as requested by the Team Facilitator; Assist with obtaining parent/ guardian signatures. Assist with scheduling of Team meetings and maintenance of ETF calendar; Assist ETF with adherence to regulatory requirements as requested by ETF and/or Supervisor
• Good communication skills both verbal and written to support parents, outside agencies, BPS departments, Non-BPS personnel, etc.
• Maintain o?ce supplies
• Maintain confidentiality of student records and information.
• Assist in facilitating the work of the ETF
• Perform related duties of a similar nature as requested by the Special Education Compliance Department which are commensurate with job description.
When supporting the BGA Main Office:
• Performs general correspondence
• Maintains pupil and teacher records and prepares a variety of reports.
• Maintains confidentiality of records, communications and information as appropriate.
• Sorts and distributes mail.
• May keep records of all money received and spent as a result of school activities.
• Inputs and monitors information relative to requisitions, supplies and repairs.
• Prepares transcripts of student records.
• Registers or assists in the registration and discharge of students.
• Answers telephone and general inquiries in a professional manner, and redirects calls where appropriate.
• May operate o?ce machines.
• Greets and assists visitors in a professional manner.
• Prepares payrolls.
• Maintains files
• Responds to inquiries from parents, teachers, pupils and other sta?.
• Performs related duties of a similar nature, as requested by supervisor, which are commensurate with job duties and responsibilities.
Qualifications Required:
• High School diploma or equivalency
• Basic computer skills including word processing, email, and internet skills
• Successfully completed appropriate course work
• Good communication and organization skills
• Ability to perform both portions of this unique position successfully and flexibly as needed
• Current authorization to work in the United States - Candidates must have such authorization by their first day of employment
Terms: Guild, Grade 23 (Refer to the Salary Compensation section on the Career Site for more information on compensation.) The workday of all employees working in traditional schools shall begin fifteen (15) minutes prior to the beginning of the pupils' school day and shall end no later than one (1) hour after the close of the school day (up to seven (7) hours and fifteen (15) minutes inclusive of their break and lunch) unless the employees are excused earlier by their immediate supervisor. Employees working in schools shall work one (1) week after the close of school, but no later than July 3rd.
