Middle School Bookkeeper & Administrative Assistant Department/School: Chanute Middle School Reports to: Building Principal / Athletics Director Payment Rate: According to the Classified Pay Scale Exemption Status: Non-Exempt Primary Purpose: The Middle School Bookkeeper & Administrative Assistant provides office and clerical support to assist with the efficient operation of the middle school. To accomplish these tasks, the RMS Administrative Assistant works closely with the staff and administration of U.S.D. No. 413. Position Details:

• 7:00 – 3:30 PM Daily
Qualifications:
• High School Diploma or Equivalent
• Bookkeeping experience preferred
• Preferred Experience in busy office environment
• Strong computer background. Experience in using various computers and computer programs.
• Ability to multi-task in an “interrupt” oriented environment
• Health and inoculation certificate on file in the Central Office (after employment offer is made).
• Desire to continue career improvement.
Essential Functions & General Responsibilities:
• Ability to interact positively with students, staff and patrons

• Provide office and clerical support to assist with the efficient operation of the school.
• Ensure that all activities conform to district guidelines.
• Communicate effectively with members of the school district and community.

• Support the philosophy and mission of U.S.D. No. 413.
• Responsible for managing building activity funds, including tracking sales tax and issuing payments for building-level expenses
• Reconcile concession stand and gate funds daily
• Order, organize, and maintain concession stand supplies
• Place orders for materials, verify quantities delivered, and distribute to staff
• Assist with scheduling substitutes, record staff absences, and submit staff reports to the principal
• Collect, organize, and enter physicals into the KSHSAA database
• Order, organize, and maintain concession stands
• Enter and track eligibility requirements on the KSHSAA database
• Secure transportation requests for all events, check school calendar for conflicts, check leaving and return times and special needs before submitting to principal.
• Screen visitors and telephone calls, directing them to the appropriate person/department.
• Obtain, gather, and organize pertinent data as needed.
• Distribute office passes and notes as directed.
• Ensure that all activities in the office conform to district guidelines
• React to change productively and handle all tasks as assigned
• Professional letter writing and correspondence as directed by the principal
• Stay current in information and knowledge related to handling middle school activities accounts
• Maintain an orderly filing system for athletics
• Aide administration in the coordination and planning of special events. Includes creation of programs, ordering food, drink etc. (Requires some nights)
• Organize forms and assist in the faculty end of year check out
• Other duties as assigned by administration
Physical Requirements:
• Requires prolonged sitting or standing.
• Occasionally requires physical exertion to manually move, lift, carry, pull, or push heavy objects or materials.
• Requires stooping, bending, and reaching.
• Must work in noisy and crowded environments.
