Position Description Student Information Systems Data Manager/Office Assistant Camden Middle School Required to obtain and maintain a yellow bus driver's license (employed after June 12, 2002) within six months of employment with Camden County Schools. Reports to: Principal; Coordinator of Data Management Purpose: To perform a variety of complex technical and computer support functions for the student information system, as well as scheduling. Also provides clerical assistance at the school, including operating the front office. Training and Experience: Graduate from a two (2) year college or technical school required. Major in a computer-related field or administrative office support and at least two (2) years of job-related work experience - one (1) year of which includes data entry; or an equivalent of education and experience preferred. _____________________________________________________________________________________________________ Term of Employment: 11 Months FLSA Status: Non-Exempt Salary Grade: NC06 ($2,966-$4,877 monthly based on training and experience) __________________________________________________________________________________________ Essential Job Duties and Responsibilities: Data Management
• Updates demographic information of students.
• Inputs all school attendance data.
• Sends letters to parents informing them of the number of days their child has been absent (i.e., after 10, 15, 18, 19 and 20 days).
• Enters all discipline incidents/actions in the student information system.
• Sends out letters to parents and maintains files on all students with referrals.
• Compiles information needed for end-of-year reports on absences, ISS, OSS and others as may be needed.
• Produces change of status sheets for the Child Nutrition Program.
• Prepares state reports for review of Principal and Coordinator of Data Management. Works with Principal in report approval.
• Attends workshops and conferences related to position as Data Manager.
• Obtains and maintains a high level of data management and functional knowledge.
• Functional support for other school users.
• Manage school-level user security.
Office Assistant/Secretary
• Provides clerical support for the school.
• May assist with the preparation of daily Bulletin/Announcements/Calendar.
• Assists school staff with computer software applications.
• Assists staff members as needed to facilitate smooth operation of the school.
• Responsible for training all school staff in data management software applications.
In addition to the work described above, a Student Information Data Manager/Office Assistant may have the following duties and responsibilities:
• To perform a variety of complex technical and computer support functions for the student information system.
• Operation of microcomputers, optical mark scanners, printers, and other peripheral equipment.
• Communicate with a wide variety of groups including students, teachers, principals, counselors, central office staff, parents, governmental agencies, and institutions of higher education.
• Works under general supervision where goals are provided and determines the procedures to accomplish them.
• Performs advanced scheduling, which includes assisting administrators in determining needs and identifying solutions when less than 100% is scheduled.
• Continuously maintains student schedules throughout the academic year.
• Runs and distributes report cards and related academic reports
• Interfaces with a teacher's electronic grade book where applicable.
• Records and maintains a disciplinary and suspension tracking system
• Prepares and/or maintains students' discipline data.
Perform other duties as assigned by the Principal and/or Coordinator of Data Management. Knowledge and Abilities:
• Substantial knowledge of student accounting procedures and regulations, source data, and the functionality of the student information system in order to support school operations and to generate federal, state, and local electronic files effectively.
• Ability to work with a high degree of accuracy.
• Knowledge of computers, peripherals, and various operating systems.
• Knowledge of the school system student information software package utilized at the school.
• Knowledge of student accounting procedures and regulations.
• Knowledge of word processing software, spreadsheets, and databases.
• Ability to troubleshoot and correct hardware and software problems.
• Ability to communicate well with school personnel, parents, students, and central office staff while complying with the confidentiality requirements in local, state, and federal policies and statutes.
• Knowledge of data management, policies, and procedures
• Must obtain and maintain a yellow school bus driver's license if employed after June 12, 2002.
