Job summary
Alyn Family Doctors is looking for a GP Receptionist/Administrator.
The GP Receptionist/Administrator team create a positive, friendly and caring patient experience, responsible for both the traditional reception role of welcoming and signposting patients to appropriate healthcare professionals and administering the busy back office work of prescriptions, coding correspondence, and providing task-based support to the clinicians and management. You will be taking patients' medical histories over the telephone as well as handling queries by email. An excellent and empathetic telephone manner is thus required, together with the ability to quickly learn and use new IT systems.
We have a permanent contract available for 26 hours per week. Shifts are allotted on various schedules from 8am to 6.30pm Monday to Friday.
Essential skills:
- Excellent customer service and communication skills
- Excellent organisational skills and attention to detail
- Well-organised and calm under pressure
- Experience of basic Microsoft Office packages.
- Previous NHS experience is handy but not essential.
Main duties of the job
This is a fast-paced role in a busy and demanding environment. We need our staff to be flexible, resilient, well organised, and able to problem-solve and multi-task whilst maintaining a friendly and approachable manner. The most important things are to have an excellent sense of customer service, remembering that you are dealing with people who are often distressed, and to be calm under pressure. Previous experience in the NHS is an advantage but not essential for this post. Full training will be given.

Alyn Family Doctors is a long-established group of family doctors working in partnership in the villages of Llay, Gresford and Rossett and surrounding areas near Wrexham in North Wales.
We have approximately 12,700 patients cared for by seven GP partners and a team of healthcare professionals. The practice operates a total triage system overseen by a GP partner each day. The practice is highly regarded and received excellent scores in the most recent NHS Wales Patient Experience survey.

Job description Job responsibilities
Reception Tasks include:
Processing requests for appointments, visits and consultations clearly, politely and efficiently. Signposting patients to appropriate healthcare professionals and services. Assisting patients who lack digital access to complete e-triage. Dealing with all telephone queries from patients and acting as liaison with doctors and other staff as necessary. Allocating appointments sensibly, using initiative where appropriate. Processing repeat prescriptions. Updating the patient record system Ensuring the reception area and waiting areas are tidy and clean during surgery hours.
General Administration includes:
The scanning, coding and filing of all correspondence into patient records. Collation of information and reports for GPs Dealing with email requests from agencies, other healthcare providers and patients The administration of e-triage questionnaires Tasks from GPs and senior management Registrations and transfers of patients General photocopying, stock ordering, petty cash purchases, filing Ensuring consultation rooms are equipped adequately for surgery, e.g. with stationery and printer cartridges
