About this role

Job summary

We are looking for a friendly, motivated and enthusiastic individual to join our friendly and busy 2 partner GP practice.

Hours: 18 per week

Working days may include Monday to Friday

(Please note that shifts will include 7.50am start times and 6.30pm finishes)

Salary dependent on experience.

Our non-clinical support staff are important in helping us to provide outstanding care to our patients.

Previous GP experience and knowledge of Emis web and docman 10 would be essential.

Main duties of the job

Job Summary:

Offer general assistance to the practice team and project a high quality, professional, positive and friendly image to patients, doctors, staff, colleagues, health service professionals and other visitors, either in person or on the telephone

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way

Undertake a variety of administrative duties to assist in the smooth running of the practice. Duties may be varied from time to time under the direction of the Practice Manager, dependent on current and evolving practice workload and staffing levels:

Processing face to face and telephone requests for appointments, visits and telephone consultations, and ensuring callers are directed to the appropriate healthcare professional.

Primary key responsibilities

The following are the core responsibilities of the Receptionist. There may be, on

occasion, a requirement to carry out other tasks. This will be dependent upon

factors such as workload and staffing levels:

a. Maintain and monitor the practice appointment system

b. Process personal, telephone and e-requests for appointments

c. Answer incoming phone calls, transferring calls or dealing with the callers

request appropriately

d. Signpost patients to the correct service

e. Initiating contact with and responding to, requests from patients, team

members and external agencies

f. Clinically code data on Emis

g. Photocopy documentation as required

h. Data entry of new and temporary registrations and relevant patient

information as required

i. Input data into patients healthcare records as necessary

j. Direct requests for information, i.e., SAR, insurance/solicitors letters and

DVLA forms to the administrative team

k. Manage all queries as necessary in an efficient manner

l. Carry out system searches as requested

m. Maintain a clean, tidy, effective working area at all times

n. Monitor and maintain the reception area and notice boards

o. Support all clinical staff with general tasks as requested

In addition to the primary responsibilities, the Receptionist may be requested to:

a. Partake in audit as directed by the audit lead

b. Support administrative staff, providing cover during staff absences

c. Action incoming emails and correspondence as necessary

d. Scan patient related documentation and attach scanned documents to patients healthcare records

e. Complete opening and closing procedures in accordance with the duty rota

f. As required support Lead receptionist in the management of repeat prescriptions, ensuring they are processed accurately and efficiently

g. Order and monitor stationery supplies

h. Support reception staff development, providing guidance and direction,

ensuring staff are up to date with mandatory training

i. Identify and provide team training where required

j. Support the practice manager with all Patient Participation Group related matters

k. Support the health promotion lead and display promotional material on the allocated noticed boards and in the waiting room

Person Specification

Qualifications Essential

Person specification Receptionist Educated to GCSE level or equivalent: essential

Desirable

GCSE Mathematics and English (C or above): desirable AMSPAR Receptionist Qualification: desirable NVQ Level 2 in Health and Social Care: desirable

Experience Essential

Experience of working in a GP Practice as a receptionist is Essential.

Desirable

Experience of dealing with vulnerable patients is desirable.
