Role Summary
TAAC Group is seeking an on-site Executive Assistant & Operations Coordinator to provide high-level administrative and operational support to senior executive leadership. This role requires proven experience supporting senior executive-level leaders in a fast-paced, multi-market environment, combining calendar and communications management with operational coordination across the TAAC Group portfolio. The ideal candidate is discreet, highly organized, and comfortable operating with significant autonomy while managing competing priorities, multiple stakeholders, and shifting executive demands across time zones.
Responsibilities
Executive Support
• Manage calendars, scheduling, and meeting logistics for senior executive leadership across multiple time zones.
• Screen and prioritize incoming communications, correspondence, and requests on behalf of executive leadership.
• Prepare briefing materials, agendas, and follow-up notes for executive meetings, board updates, and external engagements.
• Draft, proofread, and manage correspondence, presentations, and internal communications for senior leaders.
• Coordinate domestic and international travel arrangements, itineraries, and logistics for executives.
• Act as a trusted liaison between senior leadership and internal teams, external partners, vendors, and stakeholders.
• Balance and reprioritize support across multiple senior executives when demands compete.
• Maintain strict confidentiality on sensitive business, personnel, and financial matters.
Operations Coordination
• Support day-to-day operational workflows across TAAC Group's retail, wholesale, and live commerce activities.
• Track deliverables, deadlines, and action items arising from executive meetings, ensuring accountability across teams.
• Assist with vendor and contractor coordination, including agreement tracking and renewal timelines.
• Liaise with TAAC Group's internal functions to ensure operational needs are met.
• Maintain organized documentation systems (contracts, reports, operational trackers).
• Identify process inefficiencies and recommend improvements to executive workflows and operational systems.
Cross-Functional Coordination
• Coordinate with TAAC Group teams across Ottawa, Atlanta, Fargo, Gatineau, and Accra as needed.
• Support compilation of reports and dashboards for executive review
• Assist in preparing materials for investor, partner, or board-facing communications.
• Provide flexible administrative support across the senior leadership team as priorities shift.
Qualifications
• Proven years of experience as an executive assistant, operations coordinator, or similar role directly supporting senior executive leadership
• Demonstrated experience managing complex calendars, travel, and communications for senior leadership, including experience balancing support across more than one executive
• Strong project coordination and organizational skills, with the ability to manage multiple workstreams simultaneously
• Excellent written and verbal communication skills
• High degree of discretion and sound judgment when handling confidential information
• Proficiency with productivity and collaboration tools (Microsoft Teams, Google Workspace, or equivalent)
• Comfort working across international time zones and with distributed teams
• A bachelor's degree in business administration, management, or a related field
